SAP implementation at GEPCO faced various challenges, including political, socio-cultural, technological, and internal challenges. Socio-culturally, many employees were resistant to change and not motivated to learn new skills as they were comfortable with existing passive culture and permanent jobs. Technologically, migrating existing data to SAP was difficult and some employees struggled to use SAP practically despite certification. Internally, job roles had to be redefined, new equipment purchased, and offices reconfigured as the organization adapted to the new system.

Challenges in implementing SAP

SAP implementation in GEPCO followed some challenges although it was a technological


revolution but it came with its challenges that were both external, internal and socio cultural.
EXTERNAL CHALLENGES
POLITICAL CHALLENGES:
As SAP was implemented by government, every department needs to get their SAP
certification in order to keep working in the new environment. As government was concerned
about implementing SAP due to problems being faced in the past which involved wrong bills,
power distribution and public satisfaction and since GEPCO is a government department
everything that goes wrong the government will be accountable.
SOCIO CULTURAL CHALLENGES:
SAP implementation requires proper training before access it requires a proper certification.
In which the employees faced challenges because GEPCO being a government department
employees have permanent jobs there and most of the employees are above 50 and are not
interested and motivated to learn about the new update, they are used to their passive culture and
due to which this new strategy was clashing with the organization culture. Also there was chaos
in the organization culture as the workload on some employees increased while due to some
tasks were automated others workers were on ease. Skills of some workers can be of no use
because now the tasks have been changed from manual to automated. The climate of the
organization was very unsatisfactory and de motivated as most of the workers had the same job
for many years and they were set in their ways while this change wanted the employees to
change their routine tasks. So willingness and ability to improve was not seen. Also as their jobs
were permanent so the employees who weren’t supportive of change and didn’t want to learn the
new technology couldn’t be fired. That totally changed the business ethics of the organization.
TECHNOLOGICAL CHALLENGES:
As the previous data was adding on SAP. It was a hectic task for employees and most of the
employees were unable to do it and because of it GEPCO had to hire an external private
company called Abacus to handle all the data. Other challenges that were faced were even after
getting SAP certification some employees were unable to use it practically.Another issue that
could raise after implementing SAP could be cyber security as all the data is now online and
there is a probability that the data could be misused.
INTERNAL CHALLENGES
After this change the whole administrative structure was being revised. Job roles were
redefined as certain R&D departments were given more tasks to perform and similarly
technological department was more strengthened than before. Also SAP implementation required
GEPCO to purchase new equipment for example high end equipment and computers etc.The
office layout was redesigned as employees had to learn how to use SAP and which didn’t
weren’t able to contribute in office operations. Some employees also had to work over time
initially which created certain norms in the organization and values were started to redefine in
the organization climate.
