DATA COLLECTION TOOL
INTRODUCTION
The Data Collection Tool (DCT) is sales tool that gathers information from a company’s fleet and
produces analytical data to help optimize the business. This is a step by step guide on how to use the
DCT.
OBTAINING THE TOOL
The DCT is downloadable from KYOCERA Fleet Services (KFS). Once downloaded, unzip the folder to
run the tool

USING THE TOOL
3.1 SET UP
1. You have two options on how to start.
With internet
The tool will automatically detect the KFS server on the login screen. Enter in your KFS User
name and Password to sign in.
Offline
DCT requires online authorization each time it is run. However, users can use it offline for seven
days. If it expires, simply download it again from KFS.
Click Continue to start using the tool.

2. You then have two options: start new or resume previous to upload previously collected data.
To start new, continue to section 3.2.
To resume previous, continue to 3.1.1.
3.1.1 Resume Previous
When Resume Previous is selected, a dialogue will appear with two options.
1. Select Import settings or Review collected data depending on your intent.
Import settings will apply the settings from the file for a new discovery.
Review collected data will display the results from the previous export for review, but a
new discovery cannot be performed.
2. Click Browse to upload your file. Files are located in the export folder in the tool.

3.2 DISCOVERY SETTINGS
1. Fill out the proper information to discover the devices at the location.
Note: Contact the IT department if information is needed

3.3 DISCOVERED DEVICES
Once the tool starts discovery devices, you will see the devices appear in the list. The tool will
automatically start gathering information from the discovered devices.
Status
This is the management status of the device.
Device type
There are several device types:
Printer
Copier
Scanner
Fax
MFP 3
MFP 4
Other
Device type Printer, Copier, Scanner, and Fax are single operation devices. MFP 3 supports print, copy,
and scan. MFP 4 supports print, copy, scan, and fax. Other are devices that DCT cannot identify.

Operation status
This is the status of the data collection.
Data collected
This means that the data collected is complete and the results are included in the Collected data
and Data export.
Collecting data
This means the data collection is still in progress.
Authentication error
This means that there was an error in the accessing the device. This is most likely due to
incorrect discovery settings.
Waiting for data collection
The collection has not started yet for this device.
Update authentication
Use update authentication to input new settings to fix authentication errors.
1. Select a device from the list.
2. Click on Update authentication.
3. Change the settings in the dialog.
4. Click Update.
Stop discovery
To stop the discovery before it finishes, click on the Stop discovery button.
Filter
Use the filter to filter out the list.

1. Click on the filter icon to select the category.
2. Once the category is selected, either input details into the text box or select from the drop down
on the right.
3.4 COLLECTED DATA
The collected data from the discovered devices will start populating the Collected data section. This
section has multiple views that contain different information.

Printer
Alerts
Consumables
Counters
Firmware
General
Job logs
Summary (Default)

3.5 DATA EXPORT
In this section, you can export the information gathered by the tool. You can select all or individual
devices.
1. Make a selection.
2. Click Export.
3. Select the type of export file type you want.
Data collection package: If you want to import into DCT at a later time.
Individual CSF file: Allows you to import the data to another program and edit information.

4. Click Export. A popup will appear once export is completed. The file will be located in the export
folder of the tool
