Grade 12 Alternative Delivery Mode (ADM) Module on the Basic Bank Documents

and Transactions!

Lesson

1 The Bank Statement

Do you own a bank account? Do you use it for your savings or payment?
Whatever be the purpose, banking makes savings and payments safer and
convenient.

A bank account is a record of a client in a bank. Some documents need to be filled


up before you can set up a bank account. The Know-your-customer form (KYC) is
the basic form that the Bangko Sentral ng Pilipinas mandates for banks in the
Philippines. These documents get your personal information, identification cards,
work/business documents, signature cards, and finally the initial money required to
open an account.

Types of Bank Accounts

Savings account is an account established for safekeeping your money. Withdrawals


are allowed anytime, that is why the interest gained in the savings account is modest.
The savings account is evidenced by a passbook.

Checking account is also called the current account. This account eases payment
transactions by issuing a check to the payee. A checking account is evidenced by a
checkbook. The interest gained in this account is smaller than the savings account.

Time deposit is also called a certificate of deposit. Unlike in a savings account,


interest gains in time deposit is higher and fixed at a certain percent. The money

placed in a time deposit normally has a holding period where the depositor cannot
withdraw the money until maturity. There will be a penalty if withdrawn earlier than
the maturity.

Bank Documents

Deposit slip is a bank document used when a client deposits money to his/her
account. The client will be asked to write his/her account number and name, the
date, and the denomination of money/amount of check to be deposited.

Below is an example of a deposit slip.

Withdrawal slip is a bank document used when a client withdraws amount from
his/her account. The client will be asked to write the name, account number and the
amount to be withdrawn.

A check is an instrument issued by a person for his/her payment in the purchase


of goods or services. When a check is issued by the account owner (payor) to a person
(payee), the bank will verify if the bank account has sufficient balance and that the
signature in the check is authentic. Once verified, the bank will withdraw the amount
in the account of the payor and give or transfer it to the payee.

Stale Check. This check is past 6 months or 180 days from the date of issuance. The
bank does not encash this kind of check. Post-dated Check. This check is issued at
a future date. The bank will only encash if the date written in the check becomes
current.

Parts of a Check

1. Account number. It is the bank’s identification number for the owner of the
account. It is where the amount written on the check be debited.
2. Account name. Another bank identification which corresponds to the account
number. It bears the name of the owner of the account.
3. Check number. Checks are released in booklets and each page of the booklet
corresponds to a series of check numbers in chronological order. It will help
the owner track his/her check releases.
4. Payee name. It is where the name of a person or institution whom the bank
will release the amount indicated in the check.
5. Amount. It is the portion where the amount in figure is stated.
6. Amount in words. It is the portion where the amount in figure is written in
words.
7. Signature of the account holder. By attaching the signature of the account
holder in the check, indicates that the encashment is consented, thus
authorizing the bank for its release.

Bank Statement

A bank statement is a monthly report of a checking account. It shows the previous


month’s balance, the chronological order of the transactions, and the ending balance
for the month. It will show transactions of deposits, withdrawals, checks paid,
interest earned that occur during the month.

It is released by the bank for the client to review his/her account balance by doing
bank reconciliation.

1. The beginning balance for July is P25,000 (ending balance of June).


2. Debit entries are the amount of cash deducted in the account. It shows the
check number a payee had encashed and charged against the account.
3. Credit entries are the amount of cash added to the account. It is usually the
amount that the owner added to fund the checking account.
4. Credit memo (CM) is an additional fund (inflow) to the account such as
proceeds of a loan or interest. (Ex. ABM Consultancy Services applies for a
loan and got approved. The amount loaned was entered in the checking
account.)
5. Debit memo (DM) are the amounts deducted in the account due to the bank’s
service charge.
6. No Sufficient Fund (NSF) are the amounts previously added by a payee to the
account but pulled out by the bank because of insufficient funds.
7. A bank error is a check accidentally deducted by the bank from the account
(Ex. Check No. 33100 is unlikely to be the serial number of your checkbook.
Notice that the current check serial number begins with 001).
8. The last column is called the running balance column. It shows the effect of
the debit and credit entries in the bank statement.

Important note: In some cases, erasures/superimpositions in deposit and


withdrawal slips are restricted especially in writing account numbers and amounts.
In minimal erasures, the teller will ask you to sign or put your initials on top of the
