Power BI – GUIDE

Lab 1

Overview

VanArsdel is a company that manufactures and sells sporting goods. The company
has offices in the United States (US) and several other countries. Its sales
comprise of US sales and International sales. VanArsdel’s sales come from its
owned manufactured products, as well as other manufacturers’ products.

VanArsdel's US office stores the sales data on an Access database. VanArsdel


International sales transactions are available as comma separated (CSV) files.
They could be generated daily, either manually by someone, or automatically by an
automated process. They are available in a dedicated folder. These CSV files have
the same column structure as the sales table for the US sales that comes from the
SQL Database.

You want to perform analysis on VanArsdel's worldwide sales data for the year
2000 to 2015. You need to bring all these data into Power BI Desktop before you
can perform any analysis. Finally, you want to compare VanArsdel's country sales
with the country population. You need to import the country population data from a
less structured Excel report to Power BI.

LAB OVERVIEW
This lab comprises of three exercises:

1. In the first exercise, you will import data to Power BI Desktop from an
Access database file.

2. In the second exercise, you will import data from CSV files which resides in
a file folder. You will append this new data to the corresponding existing data that
comes from the Access Database.

3. In the third exercise, you will import data to Power BI Desktop from an Excel
file that is less structured.

Before starting this lab, you should review the Power BI Desktop Data
Transformations module in this course. Then, if you have not already done so,
follow the instructions in the Set up the Lab Environment section of this course to
set up the lab environment.
WHAT YOU'LL NEED
 A computer with the latest version of Power BI Desktop installed on it.

 A copy of the Access Database containing VanArsdel's US sales data.

 4 CSV files, containing VanArsdel’s international sales data:

o CA Sales.csv

o FR Sales.csv

o DE Sales.csv

 MX Sales.csv

 An Excel file containing country population data.

Connecting to an Access Database for the first time


If you are connecting to an Access database for the first time, you might need to
install the Access redistributable package.

 If you have a 32 bit machine, you need to install the 32 bit Power BI Desktop
and the 32 bit redistributable of Access.

 If you have a 32 bit Office installed (regardless of your machine), you need
to install the 32 bit Power BI Desktop and the 32 bit redistributable of Access.

 Otherwise, you can install the 64 bit Power BI Desktop and the 64 bit
redistributable of Access.

 Follow the link provided by Power BI Desktop when trying to connect to the
Access database.

Exercise 1- Import Data from Access Database

Lab Steps
VanArsdel's US office stores the sales data on an Access database. You will need
to perform analysis on that data, but before you can do so, you need to import the
data to Power BI Desktop and perform some transformations.

IMPORTANT! Before you start, if your locale settings is not English (United
States), you might want to change this, since the data you will import is based on
this locale. This is covered in "Changing Locale".

1. Download the VanArsdel's Access database. Extract the file to


“C:\DAT207x”. You can use other folders, but if you are going to use the starter file
provided at each lab instead of your own file, then it is recommended to use the
absolute path given above in order to successfully perform the schedule refresh in
Lab 4.

2. Click Start.
3. Type Power BI Desktop.
4. Click Get data.
5. Click Access database, and click Connect.
6. Navigate to C:\DAT207x, click PowerBI.accdb, and click Open.
7. Select bi_date, bi_geo, bi_manufacturer, bi_product,
and bi_salesFact and click Edit.
8. In Queries, select bi_salesFact.
9. Select the Date column.
10. Click the Transform ribbon.
11. In the Any Column group, select Data Type and select Date.
12. Click the drop-down button at the top of the Date column.
13. Click Date Filters and click After.
14. In the first Enter or select a value field, type 12/31/1999 if you are using
DD/MM/YYYY dates and 31/12/1999 if you are using DD/MM/YYYY dates and
click OK.
15. In Queries, select bi_Date.
16. Select the Date column.
17. Click the Transform ribbon.
18. In the Any Column group, select Data Type and select Date.
19. Click the drop-down button at the top of the Date column.
20. Click Date Filters and click After.
21. In the first Enter or select a value field, type 12/31/1999 if you are using
DD/MM/YYYY dates and 31/12/1999 if you are using DD/MM/YYYY dates and
click OK.
22. Rename the queries as follows:

 In Queries, right click bi_date, click Rename, replace the text with Date, and


press Enter.

 In Queries, right click bi_geo, click Rename, replace the text with Locations, and


press Enter.

 In Queries, right click bi_manufacturer, click Rename, replace the text


with Manufacturers, and press Enter.

 In Queries, right click bi_product, click Rename, replace the text with Products,


and press Enter.

 In Queries, right click bi_salesFact, click Rename, replace the text with Sales,


and press Enter.

1. Click the Home ribbon.

2. Click Close and Apply.

3. Click Data and explore the imported data in the Data View.

Query for the International sales and append the Query to the Query from US
Sales.

1. Download the zip file containing VanArsdel's international sales data.

4. Click Edit.
5. In QUERY SETTINGS change the name to International Sales.
6. On the Content header, click Combine Files.
7. Click OK.
8. Click File, click Options and settings, and click Options.
9. Click Regional Settings and, in Locale for import, select English (United
States).
10. Click OK.
11. Select the Date column.
12. Click the Transform ribbon.
13. In the Any Column group, select Data Type and select Date.
14. Click Replace current.
15. Click the drop-down button at the top of the Date column.
16. Click Date Filters and click After.
17. In the first Enter or select a value field, type 12/31/1999 if you are using
DD/MM/YYYY dates and 31/12/1999 if you are using DD/MM/YYYY dates and
click OK.
18. In Queries, select Sales.
19. On the Home ribbon, click Append Queries.
20. Select International Sales and click OK.
21. On the Add Column ribbon, click Custom Column.
22. In New column name type Country Name.
23. To replace null values with USA, in Custom column formula, type the
following formula and click OK:

=if [Country] = null then "USA" else [Country]

1. Right-click the header of the Country column and click Remove.

2. Click the Home ribbon.

3. Click Close & Apply.

4. Click Data and explore the imported data in the Data View.

Exercise 3- Import a Less Structured Data from an


Excel File

Continue with your Power BI file from the previous exercise. You want to import an
Excel report containing population data for the countries that VanArsdel operates.

1. Download the zip file containing the Country Population data. (Data is a


subset of the “World Data Bank's Population, total” dataset). Extract the file to
"C:\DAT207x". You can use other folders, but if you are going to use the starter file
provided at each lab instead of your own file, then it is recommended to use the
absolute path given above in order to successfully perform the schedule refresh in
Lab 4.
2. Import the data from the file folder by clicking Get Data, clicking Excel and
clicking Connect.
3. Select C:\DAT207x\Country Population by Year.xlsx and click Open.
4. Select Sheet1 and click Edit.
5. In QUERY SETTINGS change Name to Country Population.
6. On the ribbon, click Remove Rows, click Remove Top Rows, in Number
of rows, type 3, and click OK.
7. On the ribbon, click Use First Row as Headers.
8. Select the 1999 column, hold Shift and select the 2014 column.
9. On the Transform ribbon, click Unpivot Columns.
10. Right-click the Attribute column header and click Rename.
11. Type Year and press Enter.
12. Right-click the Value column header and click Rename.
13. Type Population and press Enter.
14. Click the drop-down button on the Year header, unselect 1999, and
click OK.
15. Click the Year header, on the Transform ribbon click Data Type, and
click Whole Number.
16. Click the Population header, on the Transform ribbon click Data Type, and
click Whole Number.
17. Click the Home ribbon.
18. Click Close & Apply.
19. If you receive an error, close the error, click the Model view, right-click each
relationship connecting Country Population, and click Delete. Now click Apply
changes.
20. Load the data into Power BI Desktop.
21. Explore the imported data in the Data View.

You have successfully brought the US sales data from the Access database and
the International sales data from a collection of CSV files to Power BI Desktop.
Before you can start analyzing your data, you need to manage the table
relationships within your data model and create new ones if necessary. To do so,
you might need to create calculated columns or calculated tables for the
relationships to be based on.

Once you have all the relationships created, you can create visualizations and start
to analyze the data. However, you need to create additional measures to perform
more advanced analysis with your data, which includes:

 Comparing last year sales and last year YTD sales.

 Comparing sales of VanArsdel's manufactured goods to other manufacturers.

LAB OVERVIEW
In this lab, you will create calculated columns, calculated tables, and create table
relationships in your data model based on the calculated columns and tables you
created. In addition, you will write several DAX expressions to create measures to
be used to analyze VanArsdel’s sales data. Specifically, you will create the
following measures:

 Total Sales: calculates the total sales.

 LY Sales: calculates last year sales.

 Sales Var: calculates sales variance between this year and last year sales.

 Sales Var %: calculates sales variance between this year and last year sales in
percentage.

 YTD Sales: calculates YTD sales.

 LY YTD Sales: calculates last year YTD sales.


 YTD Sales Var: calculates sales variance between this year and last year YTD
sales.

 YTD Sales Var %: calculates sales variance between this year and last year YTD
sales in percentage.

 Total VanArsdel Sales: calculates sales for VanArsdel manufactured goods.

 % Sales Market Share: calculates the percentage of VanArsdel manufactured


goods from the total sales.

Before starting this lab, you should review the Power BI Desktop


Modelling module in this course. Then, if you have not already done so, follow the
instructions in the Set up the Lab Environment section of this course to set up the
lab environment.

WHAT YOU’LL NEED

Exercise 1- Manage Table Relationships

Power BI Desktop has automatically detected and created table relationships. So


the first step is to ensure all the relationships are properly created, and if not,
create them yourselves.

1. Start with the "Lab 2 - Starting.pbix " file.

2. Open the Lab 2 - Starting.pbix file.

3. In the navigation pane on the left, click Model.

4. Notice that there is a many to one relationship from the ProductID column on


the Sales table to the ProductID column on the Products table.

5. Notice that there is a many to one relationship from the ManufacturerID column on


the Products table to the ManufacturerID column on the Manufacturers table.

6. Drag the Date column on the Sales table to the Date column on the Date table.


Now you want to create a relationship between the Sales table and the Locations
table. First, you merge the Country and Zip columns in both Sales and Locations
table as a new column, CountryZip. Then, you create a relationship on the
CountryZip column for both tables.

1. In the navigation pane on the left, click Data.

2. In the navigation pane on the right, click Location.

3. On the Modeling ribbon, click New Column.

4. In the formula bar for the new column, type CountryZip = Location[Country] & ",
" & Location[Zip], and press Enter.

5. In the navigation pane on the right, click Sales.

6. On the Modeling ribbon, click New Column.

7. In the formula bar for the new column, type CountryZip = Sales[Country Name] &
", " & Sales[Zip], and press Enter.

8. In the navigation pane on the left, click Model.

9. Drag the CountryZip column on the Sales table to the CountryZip column on


the Locations table.

10. Click Save, to save the Power BI file.

you will share this newly created dashboard and set a scheduled refresh so that
the dashboard is always up-to-date.

Before starting this lab, you should review Power BI Service module in this


course. Then, if you have not already done so, follow the instructions in the Set up
the Lab Environment section of this course to set up the lab environment.

WHAT YOU'LL NEED


 A computer with the latest version of Power BI Desktop installed on it.

to the one in Power BI Desktop file. Now you can start creating a dashboard by pinning
some visualizations.

10. Go to the Sales Report tab and pin the chart showing Total Sales by Category
and Segment (100% Stacked Bar Chart). Select to create a New dashboard and name
it VanArsdel Sales.

11. Pin the treemap chart, the scatter chart, and the map visualization from the Sales
Report tab to the VanArsdel Sales dashboard.

12. Go to the Yearly Trend tab and pin the waterfall chart that shows the Sales Var by
Year to the VanArsdel Sales dashboard.

13. Go to the VanArsdel Sales dashboard and review what you have created.

14. Resize and arrange the tiles as necessary.

15. On the top-right, click Web view and click Phone view.

16. Review the phone view.

SCENARIO
VanArsdel is a company that manufactures and sells sporting goods. The company
has offices in the United States (US) and several other countries. Its sales
comprise of US sales and International sales. VanArsdel’s sales come from its
owned manufactured products, as well as other manufacturers’ products.

LAB OVERVIEW
In this lab, you will download Power BI custom visuals from the visuals gallery, and
use them on your reports.

Before starting this lab, you should review Developer API module in this course.
Then, if you have not already done so, follow the instructions in the Set up the Lab
Environment section of this course to set up the lab environment.

WHAT YOU’LL NEED

 A computer with the latest version of Power BI Desktop installed on it.

 The following Power BI Desktop file:

 The “Lab 8 Starting.pbix” file

You have created several reports using the built-in visualizations. Now it's time to
further enhance your reports by using custom visualizations.
1. Go to Power BI visuals gallery: https://aka.ms/edx-dat207x-pbi2

2. In the search bar, type Sunburst, and press Enter.

3. Click Sunburst, click, GET IT NOW, and click Continue.

4. Sign in to your account and click Download for PowerBI.

5. Download the Sunburst visual to your local machine.

6. Open the Lab 8 - Starting.pbix file.

7. From the File menu, point to Import, and click Custom visual from file.

8. Click Import.

9. Navigate to the Sunburst visualization, select it, and click Open.

10. Click OK.

11. Open the Report view and go to the Sales Report tab.

12. Select the Total Sales by Category and Segment visuals, which is based of 100
% Stacked bar chart, and modify it to Sunburst visualization.

1. Go to Power BI visuals gallery: https://aka.ms/edx-dat207x-pbi2

2. Download the Radar chart visual to your local machine. You may have to search
for the visual by typing in Radar in the Search box.

3. Import the RadarChart.pbiviz file downloaded from step 2. You can now use the
Radar chart visualization in this Power BI Desktop file.

4. Open the Report view and create a new tab.

5. Create a chart based on the Radar Chart visualization.

6. Drag the Region field from the Locations table to the chart.

7. Drag the Total Sales field from the Sales table to the chart.
