1 General remarks to Order types and Maintenance activity types
This guideline is valid for all locations where SAP module PM is applied
Maintenance Order Types (AA):
Using different order types provides the following functionalities:
The authorization management provides the possibility to assign certain access
authorizations to different users when using orders with different order types. Thus, it will
be possible to delegate the responsibility at foreman level for most of the works in the
plant.
The settlement of maintenance orders on the cost centers of a production area can be
set in different ways of different order types. The settlement cost elements are set
according to the requirements of the cost center accounting. Therefore, cost
transparency at cost center accounting level is according to the necessary detail of cost
analysis in module CO.
Maintenance Activity Types (ILA):
The parameter maintenance activity type (short: ILA) does exist in SAP-PM for the purpose
to differentiate different kind of activities among the order type. Detailed evaluations within
PM can be made with the help of maintenance activity types. In contrast to order types -
they are set when starting an order - activity types can be corrected during the execution.
This means, the maintenance activity types are the only possibility for a posterior change if
changing the evaluation criteria (e.g. cost analysis in PM information system).
An overview on the AA and ILA is shown in item 2.

the following table lists the PM order types, which are presently installed in the SAP System
PR0, and the PM activity types assigned, as well as the User group, who will in charge.
Please check also issue 3.

3 Creation and application of the Order types and ILA's
PM01 Corrective Maintenance Order
The PM01 order type is used to handle individual maintenance measures with a single order, to
re-establish the target condition of a plant equipment; the reason for this measure can be
different, accordingly an Activity type ILA should be chosen (see table below).
The application of a PM01 order is useful for tasks with 4 hours or more or in case the history of
the repair is important. Minor jobs can be booked to a PM05 order type (standing order).
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved.

PM02 Baseload-Project Orders
The PM02 orders are used to handle a pre-planned maintenance measures (Project without
approval, limit is 100.000 €); which should be distinguished to PM01 orders. The table below
shows the selection of the Activity types.
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved.

PM03 Preventive Maintenance Order
The PM03 orders are used for preventive maintenance measures like the regularly services and
inspections of plant equipment. The table below shows the activities which can be used.
Based on the task lists and Maintenance plans, where the measures are documented, the
PM03 orders are created automatically by the SAP program depending on the Maintenance
plan schedule.
Besides the automatic order creation a PM03 order can also be created manually by authorized
plant personnel with transaction IW31 as described in the PM User Manual. The system creates
an internal order number when the order is saved.

PM04 Maintenance Repair Project
The PM04 orders are used for authorized Maintenance Repair Projects (> 50.000 €). The

Special attention for the order creation:
The SAP-Project number has to be assigned to the order by maintaining the PSP-
element number of the project in the order field "PSP-element" (within tab "Additional
data"), for example N.1710050001.01).

PM05 Minor Maintenance Work
The PM05 orders can be used for minor maintenance work, which do not require a single PM01
order. These standing orders are already existing in the SAP System and refer to a costcenter
area. They can be used to book small jobs < 4 hours or activities which are not relevant to have
a history.
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved.
Special attention for the order creation:
It is required to enter an external number. After the start screen a pop-up window appears,
where the number has to be maintained.

The number convention is as follows:
CostCenter (10-digitds) + 51-99, e.g. for the Preheater Kiln in Ennigerloh: 107001402151
If necessary the CostCenter has to be maintained manually in the settlement rules of the order.

PM07 Refurbishment (Spare parts)
The PM07 orders are used to refurbish broken spare parts and bring it in a condition, which
allows it to reuse it again. The refurbished part is put in stock for reutilisation.
The detailed process has to be defined.
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved.

The PM08 orders are used for authorizised Investment projects (> 50.000 €).
The project is created by HCS, dividing it in WBS- elements (e.g. Steel construction, mechanical
engineering, etc.). For each WBS-element one PM08 order should be created, at least.
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved
Special attention for the order creation:
The SAP-Project number has to be assigned to the order by maintaining the PSP-
element number of the project in the order field "PSP-element" (within tab "Additional
data"), for example N.1710050001.01).

PM09 Service for third parties
The PM09 orders are used for services to third parties (with billing invoices).
The creation will be done by authorised HCS employees; for each third party a PM09 order is
created, any services for this company will be booked to this orders, like to a standing order.
The system creates an internal order number when the order is saved
The authorizised pant personnel book their services to such an existing order; new orders must
be requested from HCS.
Attention: Services for "Sisterplants" are booked to PM01 orders of the "Sisterplant" without an
invoice.

PM10 Insurance Cases & Dismantling/Scrapping
The PM10 orders are used for Insurance cases, which are not covered by a local or external
insurance and which should be reported according the "Incident Reporting Guideline" to GICR
(check Intranet for Incident Reporting). All foreseen incidents should be reported, which would
be an insurance case. The activity type 800 "Insurance Cases Own" should be selected.
Attention: Incident cases which are covered by a local or external insurance should be handled
with PM01 orders and activity type 920 (Insurance Cases Others).
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved.
The PM10 order type is also used for measures that are performed to dismantle and scrap
(demolition) of plant equipment and buildings. In this case the ILA 810 (Dismantling/Scrapping)
should be used.
The creation will be done by authorised people of the plant with transaction IW31 as described
in the PM User Manual. The system creates an internal order number when the order is saved

4 Valid Cost elements (Validation) regarding PM orders
Bookings to certain PM orders are restricted (validation check, if it is allowed to book costs
on the costs element). The following table shows, which order types are restricted:
in attachment 1 the value categories and assigned cost elements are listed, which are
allowed to use for restricted order types.
Other costs should be booked to the CO order type CO01.
