Chapter I
INTRODUCTION
A library is a place where a huge collection of books and resources are available
which can be accessible by the users. It acts as a brain for the institutions. It enhances the
dissemination of knowledge and spiritual civilization among the students. The tons of books and
research works are captivating the students to improvise their knowledge in all perspectives. It
guides the students to promote their views differently. This knowledge optimizes the student to
achieve a better result in academic as well as personal skill development. Improvisation in
technology causes the demand for developing a way to enhance the traditional library set up to
digital one. Numerous tedious processes reduce the efficiency of the library. For example, it always
needs manual support to do any activities in the traditional library. The count and details of books
are scribbled in the paper for reference. Each data is fetched in the notebook for future citations.
To examine any data then they have to refer the notebooks. At the same time while distributing the
books to the students they have to enter into the notebook where they need to represent the book
id, distribution and renewal date, and student id. The librarians/staff have to assign a tag for each
book and provide an id for it. They have to align and arrange the books on the shelves and marked
it. Missing or theft of the book builds a serious issue and confusion to the librarians. While
collecting the book from the students they have to verify the penalties of the books.

Therefore, it causes a monotonous among the staff. Consequently, it builds an


uninteresting among the student due to the slow progress of the staff. To evoke the library into the
technological era, we presented a system called the Library Management System (LMS). It is an
automatic system that reduces the work burden of the staff/librarians through a single click. It will
manage, organize and oriented the library task.

Library consists of thousands of books, and with the increase in the number of readers it
needs to be well organized. So, LMS obligation is to provide the facility of organization of books,
monitoring them and controlling the transactions. It maintains the details of books and members. It
provides the ease of searching the available books in the library. It provides the functionality of
reserving the books and adding new books. Our Library Management System will have two end
users: Librarian and Members. Librarian will be able to check member’s details, check in or check

out books from the library, manage the books. Members would be able to view their account, check
for their details such as list of books borrowed, view the due date, and view the payment history.
The main objective of this LMS software is to simplify day to day process of library. It will be able to
provide quick and efficient service in a quick manner. This system will be able to remove the
drawbacks of large customer information physical files and catalogue which were tough to manage.
Secure Transaction, quick retrieval of information, ease of use, quick recovery of errors, fault
tolerance are some of the benefits that development team will be working on to achieve end user
satisfaction.

Objectives of the Project

The main objective of the application is to automate the existing system of manual,
maintain the records of the Book Issue, Book return from the student, Stock maintenance, Catalog
and Book Search to be computerized. So the Book Issue, return, Searching will be faster.

• The System will handle the maintenance of data .


• It handle entire transaction of book registration till issue of the book.
• Administrator will immediately acknowledged with error message.
• The Administrator details of Books, Authors and existing Member etc.
• Book wise search can be performed.

Scope and Delimitations of the Project

The Library Management System is designed & developed for a receipt and issuance of
books in the library along with the student’s details. The books received in the library are entered in
Books Entry form and the new student is entered in the student entry form. When the student
wants to get the desired book the same is issued on the availability basis to the student. The

issuance and due date for the returning of the book is also entered into the Book Issue form under
third menu Book Issue. The student has to pay the fine if any on the basis of no. of days delayed
deposit of the book in the library.

This project is aimed at developing an online Library Management System (LMS) for the
EVSU Dulag campus library. This is an web-based system that can be accessed throughout the
campus. This system can be used to search for books, reserve books, find out who is having a
particular book, put in requests to borrow a book etc. This is one integrated system that contains
both the user component and the librarian component.

Significance of the Project

This study is focused in the design and development of a Library Management System for
the Eastern Visayas State University (EVSU) Dulag Campus that shall help in improving the
processes or transactions in the library through a more organized and faster system.

The proposed Library Management System covers the major processes in the Eastern
Visayas State University (EVSU) Dulag Campus Library namely searching of books, viewing of the
book’s details, maintenance and adding of books, library card monitoring and validation, and
borrowing of the books for take home or outside the library.

The proposed system will be limited on the fines and payments of the students due to
overtime take home/borrowing of books.

Likewise, establishing a connection for outside the school campus and network access
because the said system will be only available inside the Eastern Visayas State Dulag Campus
Library.

Stakeholders.

The University – ensure the library provides sufficient facilities for education and research

Librarian - The librarians can maintain all library functions easily. In short, this system
supports keeping the records of all transactions of the books available in the library.

College students – Avoid frustration and tediousness by providing students with 24/7
access to library resources from anywhere, anytime.

Chapter II
THEORETICAL FRAMEWORK

Review of Related Literature


Local

According to Aldrin Padilla Obsanga, Ribert Roque Enierga (2021). The automated library
management system is a computerized system for the public libraries designed in the Philippine
setting to make the library’s processes more efficient, reliable and portable especially in times of
pandemics. The researchers use the agile methodology to develop and implement the system.
PHP, JavaScript, Hypertext Markup Language, Cascading Style Sheets and SQL are the
languages used to create the library management system. The developed system received an
overall rating of 4.42 with a descriptive rating of “Excellent.” The purpose of this study is to develop
a computerized system that will increase the efficiency and supervision of library activities, thereby
providing easy access to library usage for librarians and library users.

Managing the library in a university or school is not an easy task especially if it has huge number of
books that is open for utilization and borrowing to students. The librarian faces challenges in tasks
like tracking of the books on-borrow due to uncontrolled demand more particularly during
examination period or research seasons. In this study, the proponents sought to measure the
acceptability of the proposed Library Management System capable of handling tasks for library
management. The proposed Library Management System was primarily implemented at the
Polytechnic University of the Philippines, Ragay, Camarines Sur Branch to address the challenges
of the university in terms of library management and was evaluated using a survey questionnaire
that was participated by 64 students, 2 library staff, and 10 faculty members for the period of
January to March 2020. Evaluation shows that there is an average rate of 4.18 with a verbal
interpretation of highly acceptable. Given the evaluation results, it is believed that the proposed
library management system can be implemented for library management.

According to Dauda Joshua (2014). This paper investigated the extent at which
undergraduate and postgraduate students of the University of the Philippines, Diliman use the e-
resources of the General Reference Section of the Main Library. It was found that students are
barely utilizing the e-resources provided by the University Library due to inadequate awareness
and mobilization. There is also a need for the provision of more e-books and e-journals primarily
because the students need them to stay updated in their various fields of study.

According to Daryl Tampipi, Erwin Alfonso, Cabiling Joel, Pablo Jeick, Valencia Marvin,
Glenox Luzong (2020). Technology is a body of knowledge that is devoted to creating tools,
processing actions, and extracting materials. Researchers apply technology in almost everything in
our daily lives. In particular, in work, technology helps us to make their work easy and fast. Many
businesses are computerized and run by technologies. The researchers saw that the manual
library system is slow in transacting books. They can lose the all data in their manual record. Thus,
the researcher decided to computerized the library system for easy transactions and to avoid losing
all data in the system. This system makes the librarian works faster than usual because the

librarian will know if it is there is a book or they do not have the book that a person wants to
borrow. The librarian will know if there is a book that will return for this day because the librarian
will see at the system if there is a student that borrows a book and when the book will be returned.
The project manager discussed the topic to members and gave a task to each member to make
this project successful. The researchers, especially the lead programmer, made a design of the
whole system to have a security system for the client to secure their information. The design of the
system depended on the client’s suggestion. The system is also user-friendly because this is easy
to understand. The researchers prepared the needed equipment and interviewed the librarian on
how they manage manual management and keep the computerized library system safe. The
developed software was tested for potential errors and bugs, and the system was put into service.
Maintenance also involved fixing errors and the system. The researchers successfully developed
the computerized library system, which may be useful in the library with a secure, accessible,
accurate, and user-friendly system. The manual library system of Quezon City Public Library was
directly replaced with a computerized library system. The researchers conducted a survey and
interviewed to gather data to determine what are the problems that should be solved and the things
that should be improved or fixed. The researchers observed that the manual library system of
Quezon City Public Library has many problems. The researcher decided to give the user-friendly
computerized system to Quezon City Public Library.

Foreign

According to Nadir Ismayilov, Sevda Khalafova (2022). The main purpose of the research
is to examine the interaction of electronic library sites as an elements of the information resource
management system based on local and foreign experience. It consists of defining the location of
electronic sites of libraries and information centers as an element of information resource
management, interpreting information resources as a system, analyzing their logistics capabilities.
In the digital environment, place of library sites is in the management of information resources. The
article examines the characteristics of electronic sites, which form the main interface structure of
library systems. Predicated on the experience of specific libraries, the requirements for the use of
the electronic resource database are highlighted. Information resources published on domestic and
foreign electronic library sites used by academic users and general reader groups were analyzed

and their relevant search capabilities were explicated. The article also examines the interaction of
the Azerbaijan Diplomatic Academy-ADA Library and The US Library of Congress website with the
electronic library and electronic catalog interface as an example of domestic and foreign electronic
library experience.

According to MS Lyashenko, IA Malinina (2015). The rapid penetration of web-based


technologies into our social life creates challenges both for teachers and students to face. The
purpose of the paper to dwell upon the implementation of social media as web-based technologies
into the educational environment in the university. Social media application is considered at macro
and micro levels within the university structure. Particular attention is paid to the description of LMS
system at a macro level and LMS products to support a particular discipline at a micro level The
authors propose the idea that particular pedagogical conditions must be created for successful
deployment of the technologies. The participative approach is suggested as a basis of teacher-
student collaboration.

According to Mehrak Rahimi, Seyed Shahab Miri (2014). This chapter reports two case
studies done in a teacher training university to find the effects of two technology-based learning
environments on learning and technology acceptance of pre-service teachers of English as a
foreign language. In the first case, a learning management system was used to support writing
ability in a writing course. In the second case, the effect of an educational blog on increasing
phonological awareness was probed into. Both studies adopted a pretest-posttest control and
experimental group design. The results revealed that, while controlling for the participants’ entry-
level ability, the experimental group outperformed the control group in their final assessment.
Perceptions of those who experienced technology-based environments were assessed by a
questionnaire and a semi-structured interview. It was found that most participants enjoyed using
both technologies for learning, accepted them as valuable educational sources, and preferred to
extend using them into other university courses.

According to Beom-Jong You, Eung-Bong Lee (2002). Recently, the service of the
technical information (journals, proceedings) which are taken in from abroad and provided has
some difficulties to make users acquire the information with ease because the bibliographic
information, article and document delivery service are not linked to the related organizations. In this
paper we propose to supply a high-degree retrieval service by the systematic and unitary DB
construction and management and to make a nation-wide efficient management and cooperation
system of the foreign technical information from abroad as building up the assigning a part of the
location guide and document delivery service and cooperation system of the bibliographic
information from the foreign technical resources.

According to Jing He (2019). ‘Discipline construction’ is the most important and


fundamental task of universities, which is based on discipline information management. Since there
are no specialized information systems for the discipline of ‘Foreign Language and Literature’, and
the existing systems cannot fully meet today’s needs, this paper designs a discipline information
system for ‘Foreign Language and Literature’ on the basis of previous studies, which combines the
operation process of the discipline (as an organization) and the features of the discipline (as a
research field). The system functions include discipline display, discipline information management,
discipline planning, interdisciplinary management, and system management. According to these
functions, the system is divided into 2 parts: a website and an information management system,
each part consists of 4 basic modules, teaching staff, talent training, scientific research and social
services, in which internationalization and interdisciplinary characteristics run through.

o The Web Based Library Management System is intentionally designed to lessen


the workload of the school’s librarian, most especially in generating needed
reports in making book inventory and in keeping records for every book
transaction that happens inside the library. The system will also lessen the time
and effort of the students in making book reservation and borrowing books.
o In this system, librarians are provided a comprehensive interface that enables
them to easily keep records for every book transaction that happens inside the
library, the system will also help the librarian to keep track on every book that was
being borrowed. Different reports will be easily generated by this system like
reports of borrowed books, rarely borrowed books, mostly borrowed books,
unreturned books and reserved books and all of these reports are available for
downloading in Microsoft Word file format.
o With this system, students are provided an easy access to the school’s library.
They can reserve books anywhere and everywhere as long as they are connected
to the internet. The system will also send a notification to student's valid email
address for the status of the book reservation they made and for the upcoming
due date of the book they borrowed. The system will also automatically compute
the penalty of the borrowed book every day after the due date of the borrowed
book.
o This figure shows that the end-users can access the system through the web
browser. The web service engine serves as the bridge between the web
application programs to the database engine. The middleware like scripting
language interprets the end-users request to interact different programs in the
server to perform the request.
