Sending and Managing MI Leads


Report Summary
This job aid provides the appropriate steps to follow when referring a MI LEADS in CI/SFAWeb (pronounced
my leads).

Prior to Sending a MI Lead


Complete the following MI LEADS program prerequisites:

• Confirm the Opportunity meets the MI LEADS eligibility criteria. Refer to MI LEADS Global Lead Referral
Program on MGS (keyword search: MI LEADS)
• Verify the opportunity’s Account is not a Deployed Account. Check the Global Account Directory to
confirm the account is not deployed
• Exhaust all efforts to book the business at the hotel(s) you represent
• Conduct property research to determine the best hotels that fit your customer’s needs. Use the CI/
SFAWeb Property screen to validate that property is participating the program by verifying the MI Leads
field is checked. Then use the property search function in Sales Companion to find more property details.

• IMPORTANT: Obtain the customer’s approval before referring an opportunity to another property.

Sending a MI Lead
After completing the required MI LEADS program prerequisites, navigate to the existing opportunity to start
the MI LEADS referral process. The Opportunity > 2nd level Entry view > Properties frame should be visible.
Note: If the opportunity does not already exist, enter the opportunity into the system following the standard
opportunity entry process. Need Opportunity Entry Help, reference Marriott Service Portal article KB0017334.
Complete steps in the following order.

Add a New Property to an Existing Opportunity


1. Click the New icon (+) in the Properties frame to add the requested properties

2. Enter the MARSHA Code or search by clicking the button and selecting the appropriate criteria

3. Click the drop-down arrow in the Referral Source and select MI LEADS

4. Verify the account is not a deployed account within the Global Account Directory
5. Click the MI LEADS Account Validated field to add check mark

NOTE: Adding a check mark to this field


prompts the following pop-up message, “I have
verified the Account is not deployed within the
Global Account Directory”.
6. Click OK to close

NOTE: The columns have been rearranged to easily see the required MI LEADS fields within the properties
frame. Scroll to the right to locate the MI LEADS Account Validated and the MI LEADS Manager field. To
learn how to rearrange your columns, refer to Marriott Service Portal article KB005118.

7. Click the button in the MI LEADS MANAGER field to search and select the MI LEADS Manager name that will
receive credit for referring the lead
NOTE: If the name is not found, the associate is not listed as a MI LEADS Manager within the Associate
screen. Refer to the Resources/Tips section for more information.

8. Click the Menu icon (wheel) in the Properties frame

9. Select Assign To Property


NOTE: This action sends the opportunity to the Response Manager for each property and populates the
“Assign To Property Date” field.

10. Review required MI LEADS fields


Each MI LEADS property added must include Referral Source, MI LEADS Manager, Assign to Property Date,
and have the MI LEADS Account Validated appropriately acknowledged.
Program Note: If you do not follow these steps, the lead will not be tracked for credit through MI LEADS.
Repeat steps 1-9 to add additional properties, if applicable.

NOTE: When referring an opportunity to a new property, move the projected checkmark to the new property
and update the original quote to lost or turndown with appropriate Reason and Explanation.
11. Move the projected check mark to an active property

12. Update the Quote Status


NOTE: Receiving properties will follow their existing Response Process as outlined in training.

MI LEADS Screen
MI LEADS can be tracked using the MI LEADS screens.
• Click MI LEADS screen
• Visibility to each MI LEADS screen is based on your MI LEADS role

My Leads Sent

MI LEADS Manager’s list of opportunities and quotes where their name is entered on the Opportunity.
• Used by managers to monitor their leads sent
• If a lead is missing form this screen, ensure steps 1-9 have been completed as outline above

My Properties Leads Sent

List of opportunities and quotes sent by the MI LEADS Managers on a team.


• Used by leaders to monitor their team leads sent. If screen is blank or missing managers, refer to
KB0013567

My Properties Leads Received

List of opportunities and quotes sent to the property(ies).


• Used by leaders and finance to monitor their properties leads received

Click the Bell Icon to display action items needed to comply with program terms.

MI LEADS Screen: Tips


• Opportunity and Quote Fields in Home Screens: MI LEADS Manager, Current Payroll Property,
Opportunity #, Opportunity Name, Opportunity Property ‘Account Validated’, Opportunity Account
Name, Opportunity Intermediary Account Name, Opportunity Business Type, Opportunity Created Date,
Opportunity Arrival Date, Opportunity Status, Opportunity External Channel, Referred By Manager,
MARSHA Code, Property Name, Quote #, Quote Name, Quote Created Date, Quote Status, Quote Arrival
Date, Quote Departure Date, Quote Peak Attendees, Quote Peak Rooms, Sales Manager 1

• Columns can be reordered and exported. Refer to Marriott Service Portal article, KB0051186

• My Leads Sent and My Properties Leads Sent will display limited quote details at other properties for
MI LEADS. Quote Room Rates and Revenues are not visible for properties that are not included in your
profile

• Quote Peak Rooms is the highest SUM of rooms for 1 night across all the dates of the room block

• Quote Peak Attendees is the highest EXPECTED attendees for one function across all functions and days
of the function agenda

• Use the Opportunity # field hyperlink from My Leads Sent or My Properties Leads Sent to access the
opportunity

• Use the Opportunity # field hyperlink or Quote # field hyperlink from My Properties Leads Received to
access the opportunity or quote

NOTE FOR LEADERS: Each leader will see opportunities and quotes for managers that are set up on their
‘My Team’ within the application. If a leaders ‘My Team’ is not set up accurately, their My Properties Leads
Sent will be blank or missing managers.

MI LEADS Screens: Saved Queries


A Saved query is a query with pre-defined search criteria (or filters) for commonly used data searches. Saved
Queries will return results only if applicable to your MI LEADS role as outlined in the list below with MI LEADS
Query name, Home Screen View, and the Associate that will use the Query.

Use the Saved queries in each MI LEADS screen to:

• Review key metrics such as Actual and Definite leads year-to-date (YTD) and same time last year (STLY)

• Refer to Marriott Service Portal KB0018871 “What are the rules used to delete data from the system”

• Review received leads that require action:


» Ml LEADS No Quote Created-Leader, Received screen only

» Ml LEADS Quotes Past Departure-Leader, Received screen only

• Leaders to review leads sent by managers where the Account Validation box has not been checked or
whether the number of properties added to each opportunity follows MI LEADS Program process

MI LEADS Screen: Email Notifications


There is an email notification sent to MI LEADS Managers to notify of opportunity status changes to Actual.

• Subject: MI LEADS Status Update (Opportunity #)

• Action Needed: The quote status of the opportunity below has turned Actual
