ABSTRACT

College festivals are large-scale events that involve coordination between students, club
heads, faculty members, and administrators. Traditionally, managing these events has
been a manual and error-prone process, often resulting in poor coordination, scheduling
conflicts, and inefficient communication. To address these challenges, we developed
KalpManch, a dynamic and scalable event management platform designed using the
MERN stack (MongoDB, Express.js, React.js, Node.js). The goal is to streamline the
end-to-end process of fest management through automation, real-time updates, and
role-based access control.
KalpManch provides two primary user flows from the homepage: a login section for
teachers, club heads, and administrators, and a participant portal for students registering
for events. Each role is equipped with specific privileges. Teachers can filter and access
student participant data by department, year, and ID for attendance verification. Club
heads are empowered with tools to register participants (individually or in bulk), modify
event schedules, cancel or reopen events, and communicate with users. Admins have
complete backend control over all processes, including monitoring system activity,
managing users, and overseeing the fest lifecycle.
The platform allows real-time website customization through Google Forms, enabling
the upload of banners, schedules, event details, and images without redeploying the site.
It supports automated emails, participant tracking, winner announcements, and
certificate generation. Importantly, the system features an automated website expiry
mechanism, ensuring that once the fest concludes, the site transitions back to a default
institutional view.
KalpManch eliminates the need for hardcoded updates and manual coordination,
offering a modern, responsive, and user-centric solution for colleges to manage cultural
and technical fests. By integrating real-time notifications, dynamic data handling, and
flexible role access, KalpManch ensures higher engagement, improved transparency,
and significantly reduced administrative workload, setting a new standard for digital
fest coordination in academic institutions.

CHAPTER 1
INTRODUCTION

1.1 Problem Identification

Organizing a college fest is a multifaceted task involving a wide range of


stakeholders such as students, club heads, teaching faculty, and administrative staff.
Currently, most institutions rely on manual, fragmented, or semi-digital methods
(e.g., Excel sheets, Google Forms, emails, and notice boards) for managing fest-
related tasks. These outdated approaches make it difficult to coordinate activities
across multiple clubs and departments efficiently. Furthermore, any last-minute
changes in event timing, venue, or participants must be communicated manually,
often leading to confusion, mismanagement, and frustration among both organizers
and participants.
The lack of real-time information updates, centralized data access, and automation
in traditional systems poses a significant challenge. There's no mechanism to
dynamically update content on the official website, automate email notifications,
track participants across departments, or prevent event time clashes in real time.
Thus, the need arises for a dedicated digital platform that can handle these
complexities efficiently and make the entire fest management process more
seamless and scalable.

1.2 Detailed Problem Definition

The inefficiencies in existing college fest management systems arise primarily due
to the use of fragmented tools by various stakeholders, which lack integration and
coordination. There is no centralized control mechanism to effectively manage
registrations, event schedules, result announcements, or participant communication.
The absence of role-based functionality further complicates the process, making it
difficult to assign permissions or update specific components securely.
Additionally, current systems do not support dynamic website customization or the
automatic expiry of fest-specific content, resulting in outdated information
lingering on official platforms. Communication is often handled manually, leading
to frequent delays, miscommunication, and confusion among organizers,

participants, and faculty.

In the absence of a unified digital system, club heads face difficulties in registering
participants, updating event information, and managing schedules. Teachers cannot
easily verify which students are participating or filter the list based on year, branch,
or roll number. Students are often unaware of updates or changes in real time due
to inconsistent or delayed communication. Admins do not have a comprehensive
dashboard to monitor system activity or control overall operations.

1.3 Current Market Survey

Currently, colleges rely on various platforms like Google Forms for registration and
data collection, and tools like Eventbrite or Meetup for general event listing and
ticketing. Some institutions also use ERP systems, but these are rarely designed to
handle the unique workflows of college fests. These tools operate in isolation and
lack integration with the specific needs of academic institutions. They do not
support real-time control by multiple stakeholders with defined roles, nor do they
offer front-end website customization based on event details. Furthermore, they are
incapable of automating essential tasks such as email notifications, certificate
generation, or website expiry post-event. While a few colleges opt for standalone
custom-built websites for their fests, these are often hardcoded, making even minor
updates dependent on developer support—creating operational bottlenecks and
limiting flexibility. As of now, there is no standard platform in the market that
provides a unified solution combining dynamic website management, multi-role
access, real-time participant tracking, automated communication, and full event
lifecycle management tailored specifically for college fest environments.

1.4 Advantages

The proposed KalpManch platform introduces a new standard for college event
management. Built using the MERN stack, it ensures scalability, responsiveness,
and ease of integration. KalpManch is tailored to meet the unique and evolving
needs of college fests by simplifying operations and providing intelligent
automation.

Key Advantages:

• Dynamic Frontend Customization: Admins can customize the fest website by
uploading content (images, text, event details) via Google Forms. This makes it
easy to update without technical knowledge, ensuring the platform is both
flexible and user-friendly.
• Role-Based Access Control:
o Club Heads can register students, cancel events, change timings, and
send notifications.
o Teachers can filter and download participant lists by department, year,
and ID.
o Admins have backend control over all operations.
• Conflict-Free Event Scheduling: The system includes an intelligent scheduler
that automatically checks for overlapping events. If any time or venue clashes
are detected, the admin is promptly notified, ensuring smooth, organized, and
conflict-free event planning.
• Real-Time Notifications: Participants receive instant email alerts whenever
there are updates to their registered events, such as timing changes, venue shifts,
or cancellations. This ensures transparency, reduces miscommunication, and
enhances participant experience.
• Automated Website Expiry: After the fest ends, the website automatically
transitions back to the college’s default version, displaying general academic
and cultural information.
• Participant Tracking and Reporting: The system generates real-time reports
that can be used by faculty to mark attendance and by admins to evaluate
participation. EMS services are shown in figure 1.1

LITERATURE SURVEY

2.1 A Review of Event Management Systems: Static to Dynamic Solutions (2018)[1]

The paper "A Review of Event Management Systems: Static to Dynamic Solutions" by

J. Taylor (2018), published in the Journal of Event Technology, presents a


comprehensive analysis of the evolution of event management systems (EMS) from
static, inflexible structures to dynamic, user-responsive frameworks. Taylor argues that
traditional EMS are limited by their dependence on manual updates, hard-coded
configurations, and lack of real-time responsiveness, which hinder their ability to
handle large-scale or fast-changing events. The study highlights the need for dynamic
systems that can adapt quickly through modular design, automation, and user
participation. Key features discussed include live schedule modifications, participant
interaction tools, administrative flexibility, real-time announcements, and the use of
analytics to improve future events. KalpManch, a modern event management solution,
reflects the dynamic EMS model outlined by Taylor. It allows various stakeholders—
teachers, students, and club heads—to collaboratively manage events in real time
without technical intervention. Through dynamic content rendering from Google
Forms, automated email updates to participants, and tools to handle last-minute changes
such as timing shifts or cancellations, KalpManch offers a decentralized and efficient
approach. Moreover, its built-in features for registration tracking, performance result
management, and live communication directly support the dynamic EMS criteria
defined in the paper. By shifting from a rigid event structure to a live, data-driven, and
user-centric system, KalpManch stands as a practical realization of the dynamic event
management principles proposed by Taylor. The paper not only validates KalpManch’s
design choices but also strengthens its relevance as a next-generation EMS tailored for
academic and cultural institutions.

2.2 Content Expiry and Automation in Web Platforms: A Case Study (2020)[2]

The paper "Content Expiry and Automation in Web Platforms: A Case Study" by R.
Goyal and S. Verma (2020), published in the Digital Innovations Journal, presents
an in-depth analysis of how automated content expiry systems contribute to the
sustainability and relevance of modern web applications. The authors highlight the
challenges faced by web platforms in maintaining timely content, particularly during
and after events, where outdated banners, schedules, or announcements can mislead
users and harm the platform’s credibility. By introducing features like expiry timers,
admin-controlled expiry logic, automatic fallback to default content, scheduled
archiving, and user notifications, the paper outlines a framework for ensuring
consistent, clean, and accurate web content presentation without manual updates.
KalpManch directly adopts and builds upon this model by integrating a fully
automated expiry system within its backend. Once the fest reaches its end date,
KalpManch seamlessly transitions from the active fest interface to a static,
informative version that highlights annual college events and general details. This
ensures that the website remains relevant year-round, without requiring manual
intervention to remove expired data. Additionally, the scheduled data cleanup and
archive features keep the system optimized and avoid confusion for users revisiting
the platform post-event. Goyal and Verma’s research not only supports this
automation-driven approach but also emphasizes its necessity in scalable platforms
like KalpManch, where manual upkeep would be inefficient and prone to errors. This
alignment reinforces KalpManch’s forward-thinking architecture and its goal of
delivering a self-maintaining, reliable event management experience.

2.3 Smart College Event Management System Using MERN Stack (2023)[3]
The paper "Smart College Event Management System Using MERN Stack" by
Akansha Pansare, Athang Patil, Nikita Patil, Yatin Patil, and Aparna Bhonde
(2023), published in the International Journal for Research in Applied Science and
Engineering Technology (IJRASET), presents the development of a robust college
event management system using the MERN stack. It addresses the limitations of
traditional event systems by offering a modular, scalable, and responsive web
application. The system incorporates key components such as a secure login
mechanism, student registration panel, admin dashboard, and email notification
integration. Detailed implementation using MongoDB, Express.js, React.js, and
Node.js is provided, showcasing the benefits of schema-less data handling, RESTful

KalpManch follows a similar MERN-based architectural model, making this paper
highly relevant as both a technological guide and architectural benchmark. The use
of MongoDB in KalpManch ensures flexibility and scalability in handling user,
event, and registration data, while React powers a dynamic and user-friendly
interface. Node.js and Express enable efficient API handling and server-side logic,

systems. Furthermore, KalpManch incorporates advanced features validated by the

2.4 Design and Implementation of an Online Event Management System for
Educational Institutions (2019)[4]

The paper "Design and Implementation of an Online Event Management System for

International Journal of Computer Applications, outlines the creation of a centralized
platform aimed at simplifying event coordination within academic environments. It
highlights the limitations of fragmented, manual processes and advocates for a unified
digital solution that can handle event creation, user authentication, participant
registration, and automated notifications seamlessly. The authors stress the importance
of role-based access, streamlined communication, and an integrated backend to ensure
efficient event lifecycle management across institutions.
KalpManch directly aligns with these goals, functioning as a centralized system for
managing college events and streamlining interactions among students, teachers, and
club heads. Drawing from the concepts presented in the paper, KalpManch incorporates
structured user roles—admin, teacher, and club head—each with specific privileges and
responsibilities. Automated email notifications, registration workflows, and event
creation modules reflect the foundational features recommended by Sharma and Mehta.
The paper validates KalpManch’s architecture and strengthens its relevance in the
academic domain, confirming that such a unified and automated system is crucial for
reducing workload, enhancing communication, and ensuring error-free event execution
in educational institutions.

METHODOLOGY AND DESIGN

3.1 System Overview

KalpManch is an intelligent, modular event management platform tailored for


academic institutions to simplify fest planning, coordination, and participation. It
aims to replace traditional, fragmented methods with a real-time, automated, and
user-friendly digital solution. The platform architecture is designed with three
primary layers: Frontend, Backend, and Dynamic Content Management. Each
layer contributes to a seamless, secure, and responsive user experience.

3.1.1 Frontend – User Interaction Layer


The frontend of KalpManch is built using React.js with Tailwind CSS
for styling, ensuring a responsive and visually appealing interface. It
offers:
• Role-Based Dashboards: Custom dashboards for students, club heads,
teachers, and administrators based on login type.
• Event Registration Forms: Dynamic event forms, auto-generated based on
club inputs, allowing participants to register easily.
• Live Updates & Notifications: Real-time display of schedule changes,
winner announcements, and event status.
• Mobile-First Design: Fully responsive UI, accessible from desktops,
tablets,
and smartphones.

3.1.2 Backend – Logic & Data Processing


The backend, developed using Node.js and Express.js, forms the core of
KalpManch's logic and data flow. It includes:
• User Authentication: Secure login using bcrypt.js with optional OTP
verification for admin and teacher logins.
• Event Lifecycle Management: CRUD operations for creating, editing,
cancelling, and rescheduling events by club heads.
• Conflict Prevention Engine: Automatic clash detection to avoid

overlapping event schedules.
• Database: A structured MongoDB schema maintains collections for users,
events, schedules, registrations, and results.
3.1.3 Dynamic Content Handling & Expiry Logic
To adapt the platform beyond single fests and ensure long-term usability:
• Website Customization Module: Admins can update images, event names,
and headings via a Google Form-like interface.
• Auto Expiry Mechanism: The platform switches from fest mode to a general
college event view after a defined expiry date.
• Post-Event Archiving: Data such as winners, attendance, and participation I
is stored securely for future reference and audit.

3.2 Process Flow


KalpManch follows a well-defined workflow, ensuring transparency, control, and ease
of use:
3.2.1 User Login
• Secure login portals for students, teachers, club heads, and admins.

• Session management ensures controlled access and prevents misuse.
3.2.2 Event Creation & Management
• Club heads can create events by submitting time slots, images, rules, and

• Students register using a unified form and select one or more events.
• Each registration is mapped to their college ID and stored for teacher access.

• Auto-generated participant lists help teachers identify attendees from their
classes.

• Club heads can upload event winners.

3.2.6 Post-Fest Expiry Handling
Upon reaching the fest's expiry date, the website automatically
transitions to a default version showcasing past fests. The figure 3.1
shows the DFD of the website .

3.3 Advantages of the Methodology

Figure 3.2 is the workflow of a College Fest Website Management System,
outlining the roles and processes for admins, teachers, and students. The
process starts with the Admin Portal, where the admin uploads fest content,
selects the fest, adds events, and assigns coordinators. Simultaneously,
teachers log in, describe events, complete their details, and notify the
admin. Once events are assigned and details completed, teachers are
notified. The system then checks if the event creation process is complete.
If not, it waits; otherwise, events are reviewed, conflicts resolved, and the
fest is approved. Students are then notified and can enroll in events by
accessing the fest page. After the fest ends, the admin updates the page
content, hides registration forms, and displays the winners. This structured
flow ensures a smooth and organized fest experience for all users.

CHAPTER 4
IMPLEMENTATION

4.1 INTERFACE :
KalpManch provides a responsive, user-friendly interface for students, club heads,
teachers, and admins, enabling easy event registration, management, and real-time
updates through role-based dashboards and automated notifications.

4.1.1 Homepage :
Figure 4.1 illustrates the homepage of the KalpManch platform, showcasing
user-friendly navigation with Login and Signup buttons and a prominently
placed fest countdown timer. The layout is designed to immediately inform
users of the upcoming event while providing quick access to the platform’s
core functionalities.

4.1.2 Events Page :
Figure 4.2 represents the events page, where all fest events are listed with
names registration buttons. The design ensures that participants can easily
explore event details and register quickly, enhancing user engagement and
clarity.

4.1.3 Admin Dashboard

Figure 4.3 showcases the Admin Dashboard, which provides centralized access
to manage teachers, HODs, and student records. Admins can assign roles,
monitor event participation, approve or modify schedules, and ensure smooth
coordination across departments during the fest.

4.1.4 Create new user
Figure 4.4 illustrates the "Create New User" page, where the admin can add new
users such as students, teachers, or HODs by filling in their details, assigning
roles, and setting login credentials for secure access to the platform.

RESULT ANALYSIS

5.1. FUNCTIONAL TESTING OVERVIEW


Table 5.1 provides an overview of the testing conducted for the KalpManch platform.
The platform was tested using a combination of unit tests and integration tests to ensure
its functional correctness, robustness, and usability. Key modules were tested
individually, as well as in end-to-end scenarios, ensuring that all features perform as
expected in real-world conditions.

5.2. KEY OBSERVATIONS:


• End-to-End Flow Success Rate: Over 90% of event registrations were
processed successfully without issues, ensuring smooth participant interactions.

• Role-Based Login System: The login functionality for Admins, Teachers, Club
Heads, and Students worked efficiently, with no security breaches or failures.

• Registration Management: The registration system handled user submissions


and email confirmations seamlessly, ensuring a user-friendly experience.

• Real-Time Website Customization: Admins were able to update the


homepage content dynamically via the Google Form integration without any
delays or malfunctions.

• Notifications: All notifications, including event registration and result updates,
were sent out promptly and were accurately received by the participants.

5.4. LIMITATIONS NOTICED:

• Event Time Adjustments: While the event time scheduling system worked
smoothly, real-time adjustments to event schedules could face delays in case of
a high volume of users updating the timings simultaneously.
• Geolocation for Event Suggestions: The geolocation-based recommendations
for local events worked well in urban areas but may require refinement for rural
locations where data accuracy can be limited.
• Internet Connectivity for Real-Time Updates: The smooth functioning of
real-time updates (event changes, result updates) relies on a stable internet
connection; poor connectivity may cause delays in updates being reflected on
the site.
• Third-Party Integration: Integration with external tools (such as Google
Forms) for data submission was smooth but could be susceptible to changes in
the third-party APIs or downtime from external services.

CONCLUSION

The KalpManch platform has been developed with the vision of streamlining and
digitizing the entire fest and event management process within colleges. By integrating
dynamic customization, real-time updates, and participant tracking, the system
empowers both administrators and club heads to efficiently manage events without the
complexities of manual coordination. The inclusion of automated systems for result
announcements, email notifications, and website transitions enhances the overall user
experience while reducing administrative workload.

This project demonstrates the potential of modern web technologies in solving real-
world organizational challenges. Through KalpManch, we aim to foster a more
organized, transparent, and engaging environment for college-level events. Looking
ahead, the platform can be further extended to include mobile app integration, analytics
dashboards, and AI-powered scheduling to enhance its capabilities and scalability.

Abstract- This research presents the development of KalpManch, an internet based event management system
exclusively for university fests. Developed with the technology stack of MERN (MongoDB, Express.js, React.js, Node.js),
KalpManch provides the solution to the drawbacks in the conventional fest management by offering features such as
user-friendliness, dynamicity and scalability. One is that it works closely with Google Forms, allowing for instant updates
to event websites for the organizers and club heads, as the information displayed is always accurate. In complex scenarios
KalpManch deals with the regular updates of the event, manages collaboration and makes a work of event seamless.

I. INTRODUCTION

Event management also plays a central role in organizing events, festivals or programmes and in managing
communication and interaction between stakeholders. On the other hand, expandability poses a great challenge for
traditional processes in large events like college fests, which need flexibility, real-time update and customization
according to the needs of the user . In response to these challenges, a novel event management platform called
KalpManch has been created for management and operation of events, which is based on the MERN stack
(MongoDB, Express.js, React.js, Node.js). It is an innovative and highly portable product set especially tailored to
bring about a dramatic change for the better management of events both for participants as well as the organizers
and administrators in the organization . Our website , KalpManch has additional features of real time webpage
design, participant registration, conflict-free scheduling and auto-telecast result options. These features automate
processes and improve users’ engagement in an effective and engaging way. Including Google Forms ensures that
information presented on the website of the event, coordinators or club leaders is up to date in the event period. This
enhances coordination and shared information as it allows for instance making updates such as to schedules,
speakers or detail without using up time from the attendees. KalpManch also switches back to the college’s default
site after the event, thereby not having any unprofessional content displayed after the fest is over. It also doesn’t
allow the event time clashes, and deals with a change, cancellation or any other alterations instantly and provides the
notification for the same in a rather convenient way. Whether it is about event timings or whether a participant has
been duly registered for an event, the participants or users get an automated email reminder immediately; Similarly,
administrators can make and send changes in real-time, which notify the concerned learners immediately. Specially
for managing various types of events, KalpManch provides a perfect safety and proper coordination. A new concept
to manage the event in the digital world has brought the best solution of digital event management for the era suited
to the modern needs of event management. KalpManch provides end to end services to redefine event management,
with operational efficiency, flexibility and usability. It asserts the factor of timely communication and interrelation
aimed at event stakeholders and makes KalpManch look like a revolutionary platform. It encourages smooth
operations of communications between the organisers, heads of the clubs, the participants and the administrators
thus ensuring accountability. People will be able to monitor event registrations and will be immediately notified
when changes to the schedule occur or when results are in, keeping them both informed and interested. Similarly ,
organizer to club heads and administrators to better manage numerous activities such as dynamic changes like
rescheduling , changing venues or canceling. The major characteristic of KalpManch is the automated e-mail
notification which does not interfere with appointment alerts. This is especially important in conditions where large
groups of people are involved and information exchange results in time-consumption. Notifications on event
timings, participants’ status, and announcements are all sent immediately so that event proceedings run smoothly.
Regarding usability, mobile responsiveness of KalpManch is improved making it easier for users to perform tasks
related to the events from any device. This application allows users easy navigation through multiple platforms,
thereby increasing engagement. The adaptability is also supported by the fact that KalpManch is aimed at users’
feedback. Stakeholders’ feedback can be provided after each event and then utilize such feedback in order to apply
changes that would make the platform more suitable to its users’ needs as they develop. Since KalpManch is aimed
at proving an enhanced feature set, guaranteeing security and reliability, and improving users’ experience, it opens
the gap between traditional approaches and modern requirements. It has become a new indispensable model for
effective, adjustable, easy and highly-scalable digital event management.

systems focusing on their use in diverse sectors. The research draws attention to such novelties as virtual reality
elements to better perceive the essence of the event or this event AI virtual assistant for inquiries with answers in the

modular form that leaves room for adjustment according to the requirements of a specific event. The paper
addresses the question of data protection among others. These studies show that EMS can revolutionize the whole
process of event management by using technology. [9] The IJITCE paper outlines the Event Management System in
perspective of managers, who run it in educational institutions. It emphasizes the problems of ordinary event
planning, like inter role ambiguities and flaws, and how electronic means cope with these problems. The authors
focus on functionalities such as tracking of participants, feedback and analysis for decision-making process. They
also recommend the use of AI to automate scheduling and the use of VR for better interaction. This study highlights
the need for the EMS to enhance effectiveness and improve relationship within the institutions. [10] The Role Of
Event Management Systems In Academics (UITM Journal). In this paper the authors examine the concept of event
management systems in the academic environment. It discusses functionalities such as participant attendance,
information sending in actual time and sending messages for feedback after an event. The authors argue that EMS
changes the way that people plan events because it automates processes and provides a single point for documents.
The research highlights the promise posed by EMS in relation to communication, user participation and data
analytics. Future enhancements suggested include embedding IoT for better attendance screening and AI for tailored
suggestions.

II. METHODOLOGY

KalpManch, in fact, has been specifically designed with a view to sparing most of the configuration imposed
students and faculty in charge of the event management going to college fests. The idea is to develop a network
solution that will help to track, register and manage events for all the stakeholders. During the research phase, we
found a number of shortcomings in currently existing systems most notably in regards to user interactions and
accessibility. Specifically, the guidelines of the system design under consideration were to create a system that
would respond to the size of an event and handle different users. We identified some of these are customized event
registration, tracking of attendance of the faculty, scheduling of events, which do not overlap, and sending out of
automated e-mails. Front End modular framework of our choice was React while the CSS of our front-end used the
framework of Tailwind CSS It is a mobile-first responsive design of simplicity. As it has already been mentioned,
the platform architecture was thought with non-professional user in mind. On the backend side, we used the MERN
stack to build a fast, highly flexible, highly scalable application. This supports event creation: a place to create new
events, assignments for students and tracking live updates. We implemented JWT for user authentication where we
used role-based access control (RBAC) for any access of feature which depends on the user’s role whether they are
students, teachers, club heads or admins. For increased security and easier interaction with the users, we
incorporated the status notification by email or SMS. We also emphasized on performance and scalability aspects of
web site; query and API optimization to handle large traffic during peak event time. Cross-device and cross-browser
testing were done to make the experience as comfortable on one device or the other. The next step is to launch it’s
own event management solution, KalpManch- free and easy to access. Our goal is to add features based on the users
that would keep the platform valid in the upcoming college festivals and reach a large number of people. In addition,
in an effort to help the reader appreciate the flow of the Kalpmanch system, a flowchart (Figure 1) has been
developed to present the different stages and how they interconnect to form the whole workflow. This flowchart is a
strategic method that demonstrates the process of analysis; where user interaction initiates the sequence, and the
result produced by the system concludes the process. It singles out the components of users’ inputs, system outputs,
decision options and further subsequent activities of the system as well as the overall interdependent structure of
these components. In the same way, the flowchart not only distils the functionality of the Kalpmanch application
into easily digestible parts through the will-made layout but also makes the logical characteristics of the application
comprehensible. The representation is particularly helpful when one would like to understand the fundamental
operations of the system and as a result facilitates the discussions made throughout this paper.

3.1 User
The user in this system involves people involved in college fest event such as students, faculties, heads of clubs and
officials from the college. Every user has his own id, and simple data are registered in the system. The platform is
also developed with the concept of users and their roles and authorities on the platform. Students are able to sign up
for events, club leaders control the event information, teachers monitor and record attendance and the administrators
control the entire system.

3.2 Event
Event is considered as one of the crucial elements in the proposed system which is KalpManch. Every event gets an
ID and involves information on event name, description, timing, venue and whether registration is open or not.
Clubs heads and admins are able to create event, edit the event information and even delete events. The system is
designed in a way that it will not allow scheduling of two or more events at the same occasion. Event registration
status, time of occurrence of an event and time when the results of an event are available etc., are changed and
alerted to users.

3.3 Registration
It makes it possible for students to register in activities they would like to attend. Every registration has an ID, and it
is associated with the student, as well as the particular event for which the student registered. Depending on the type
of event, the registration status is marked as confirmed, pending or canceled and the participants are notified of
changes in the registration status and results by emails/SMS. Additional features of the tool are event registration in
which admins and club heads can review the participant list and can opt to close the registration if necessary.
3.4 Techniques in Event Scheduling & Conflict Management
This module makes sure that no two events are booked at the same period of time. I found that the system is able to
identify when there are two events planned for the same time of the day and does not allow for this to happen. The
event schedule can be edited instantly by the admins and club heads and as soon as the changes are saved, they are
visible. Time change alerts also are conveyed to the participants through email or SMS after registration for the
event. Its utility is to provide better event management and exclude misunderstandings connected with the college
fest.

3.5 Authentication Module


The authentication module controls which user is allowed to perform operations in the system. Realising the security
JWT (JSON Web Tokens), the platform authorise the credential of the users which includes students, faculty, club
heads and admins. For enhanced security, OAuth 2.0 procedure is incorporated with options for the users to log in
using their Google or Facebook account, which makes the process more easy going and convenient. This module
also has rights of session management where users are allowed to remain logged in until they explicitly log out.

3.6 A practical concept that separates access control at the application level into two main models:
discretionary Access Control and Mandatory Access Control.
For that, the system uses the role-based access control where the user has access to only the features of his/her role.
The students can merely register for events, confirm their participation status and receive notifications only. Event
information and registration can be organizable by club heads, as well as tracking attendance by teachers. Super
gained full control on the entire concept, including events, users, and configuration. This assures that the system has
a secure structure where every user communicates in the platform in different ways as a result of their roles.

3.7 Reporting & Analytics


KalpManch has reporting that offers comprehensive data on events, people’s attendance, registration, and more.
This means that the admins and the club heads are able to create reports that can be used to measure the
effectiveness of events, the level of participation and other aspects of the operation as well. This is useful when
planning for future events since better or more efficient ways of handling such events are developed through
analysis of data.

3.8 Feedback System


The ability to make to give feedback enables users (students, faculty, and club heads) to give feedback on events in
this module. The system gathers information on all forms of the agenda of the event, organization, timing aspect,
and experience gained. Managers are also able to monitor feedback from the participants to provide appropriate
recommendations to enhance subsequent occasions. This feature assists in the improvement of the user experience,
and increases the refinement of organizing concern events.

III. RESULT AND DISCUSSION

KalpManch a college fest management platform has solved many important or big problems of the event
management organizations in giving a smooth and coherent interface. It has brought significant changes in
registration to many events, the involvement of schedules and result tracking in events among students, faculties and
administrative staffs. Initial reception to the application is positive with response emphasizing on the straightforward
interface, real time event scheduling and the notification feature. Among those, the highly effective event
management system has enhanced the flow of coordination and sorted out the major problem of event management
system, which is lack of schedulability. Custom features like Role Based Access Control for the user and added
features to follow user attendance, Auto Notifications which make the user experience much better than earlier
models have been the added features which will go a long way in making the model successful. Ideally, KalpManch
has provided certain benefits such as event calendar without overlap, timely and versatile updation and high level of
user participation. Some evidence from the pilot testing illustrated that KalpManch has the potential to increase the
rate of college event attendance by about 50 percent of the users within the first seventy days of registration and
tracking. However, there is some indication of the difficulties that exist, even in these favourable circumstances.
Long-term user retention is another major challenge as is adapting to changing requirements. Furthermore, the
platform grows and is effective only with the support of college administrations and faculty for more widespread
use. These aspects shall be taken into consideration in order to lay the foundation into effective strategies for
KalpManch to leverage in the future.
IV. CONCLUSION

The management platform for college fest created in this project, named KalpManch, solves the issues associated
with college events organizing and participating. The designed platform helps to provide simple and real-time
interface of events, event registration, and information flow for students, faculty, and administrators. Ignores some
of the barriers that include schedule conflict and communication challenges hence enhancing the management of
events. Subsequently, with the help of the above mentioned features of KalpManch more co-ordinate and active
participation is seen in colleges events. It also makes time attendance and other related features to announce users,
which enrich the user experience and keep them aware. From testing, there is a positive feedback with users
enjoying the interface and how the platform deals with events without overlaps. Nevertheless, there are certain
issues which are being experienced by KalpManch, such as sustaining user interest on the site and guaranteeing that
the platform continues to be useful to its users as they grow older and require different things from the site. Its
further development and utilization will thus need support from college administrators and instructors to become
more widespread. But there exist specific obstacles that should be eventually overcome In this regard, through
constant enhancement and in response to above mentioned challenges, KalpManch has a remarkable capability to
revolutionize the process of college fest management, contributing to the enhanced satisfaction level of the groups of
stakeholders. In sum, KalpManch is a progressive step towards efficient management and organization of college
events, better co-ordination among enhanced students-teacher and student-administrator interactions.
