CONSTITUTION
CHIANDA ALUMNI 2015 WELFARE GROUP CONSTITUTION
1. NAME
The name of the group shall be Chianda Alumni 2015 Welfare Group

2. LOCATION
It is Located in Rarieda Sub County, Siaya County

PART 2:
1) VISION
To help individuals and/or group own immovable and movable property and
support each other at all times.
2) MISSION
Creating an enabling environment for enhancing poverty eradication through
our own contribution.
3) OBJECTIVE
 To source and network for opportunities for members in accordance
with their specialization and abilities
 To enable members to be empowered through networking
 To source for funds and knowledge to establish and expand both
individual and group’s enterprises
PART 3:
MEMBERSHIP
The group shall have as many members as possible both male and female. To be
registered as a member one has to satisfy the following:
 Payment of non-refundable membership fee of Ksh. 200 renewed yearly.
 Must be a Kenyan Citizen
 Must be of Sound mind and good character
 A person ready and willing to sacrifice and offer his/her abilities where
needed.
 An Alumni of Chianda High School class of 2015

PART 4:
OFFICE BEARERS
The office bearers in the group shall be:
1. Chairperson
2. Vice – Chairperson
3. Secretary General
4. Treasurer
5. Organising Secretary
6. Representatives
OFFICE TENURE
 All office bearers shall hold office for two (2) years.
 Election shall be presided over by an external party in a meeting attended by
at least two third (2/3) of registered members
 Class streams balance shall be mandatory during elections.
 In an event an office being vacant the officials will appoint an acting office
bearer.
DUTIES OF OFFICE BEARERS
1) Chairperson
 Shall convene and chair all group meetings
 Assist in resolving differences and disputes amongst members
 Shall be one of the signatories to the group bank account
 Delegate duties to members
 Approve and sign all minutes
 Represent the group in other meetings/associations

2) Vice- Chairperson (VC)


In absence of the chairperson, the V.C shall take all the responsibilities of the
chairperson EXCEPT that of being a signatory to the group bank account.

3) Secretary General (SG)


 Prepare meeting agenda in consultation with the officials
 Arrange and book a suitable venue for the meetings and guest speaker
if necessary.
 Send notices to all members of any meeting/activities
 Keep a complete, approved and signed up to date set of minutes.
 Upholding the legal requirements of governing documents
 Maintain effective records and administration.
 Shall be one of the signatories to the group bank account

4) Treasurer
 Keeps all financial records of the group
 Collect and contributions
 Prepare financial statement monthly and annually prior to the AGM
 Keep records of registered members
 Shall be one of the signatories to the group bank account
 Ensure all payment and expenditures are duly authorized

5) Organising Secretary
 Responsible for organising any form of activity the group is involved in.
 Responsible for all group assets in any event the group is involved.
 Report to the office any damage that occurs to any group assets or
those that have been borrowed

6) Representatives
 Ensure 100% membership of the stream assigned
 Follow up on members’ feedback
 Carry out any task delegated by the chair
PART 5:
FUNDING
 Annual registration of members
 Profits from development projects
 Fines from group members
 Monthly contributions by members
 Grants from N.G.O /donations from well wishers
PART 6:
GENERAL MEETING
 There shall be two classes of General Meetings; Annual General Meetings
(AGM) and Special General Meetings.
 The annual general meeting (AGM) shall be held not later than December
every year. Notice in writing of such Annual general meetings, accompanied
by the annual statement of account and the agenda for the meeting shall be
sent to all members not less than 30 days before the date of the meeting.
 The officials may call for Special general meeting for any specific purpose.
Notice in writing of such meetings shall be sent to members 7 days before the
date thereof.
PART 7:
WELFARE CONTRIBUTIONS
a) This shall only be limited to Funerals and Severe Sickness as
predetermined by the officials.
b) Funerals to include – Death of a member and as well the immediate family
i.e Mother, Father, Siblings, Wife and Children.
c) Only members will be subjected to contributions in case they get into
severe sickness.
d) Upon participating in two-thirds (2/3) of contribution activities of the group
one shall be qualified to benefit from the welfare support subject to
verification by the officials.
e) Minimum contribution amount for the welfare will be as follows:
i. Death of a member – Ksh. 500
ii. Death of immediate family – Ksh. 500
iii. Severe sickness – Ksh. 500
PART 8:
TERMINATION OF MEMBERSHIP
 In case a member wants to withdraw from the group; he will do so in writing to
the officials.
 The officials will then meet to deliberate as per the information in individual’s
letter.
 A member can be expelled from the group as a result of gross misconduct i.e.
Violent, theft, insult and sexual harassment among others.
 In case of expulsion, members shall vote to approve the same with at least
two third (2/3) of all registered members.

PART 9:
AMENDMENT TO THE CONSTITUTION
Amendments to the constitution of the group must be approved by two-thirds
(2/3) of majority of members at a general meeting of the group. They shall
however be implemented without the prior consent in writing to the registrar,
obtained upon application to him/her in writing and signed by three of the office
bearers.
PART 10:
DISSOLUTION
 The Group shall not be dissolved except by a resolution passed at a
general meeting of the members by a vote of two-thirds (2/3) of the
members present.

 Provided, however, that no resolution shall be effected without prior


permission in writing to the registrar, obtained upon application to him/her
made in writing and signed by the three office bearers.

 When the registrar has approved the dissolution of the Group, no further
action shall be taken by the office bearers of the group in connection with
the aims of the group other than liquidating all the assets of the group.
Subject to the payment of the debts of the group, the balance shall
therefore be distributed in such other manner as may be resolved by the
meeting at which the resolution for the dissolution is passed.
