Front Office department plays a vital role and is the face of an establishment. It is the first
and the last section where a guest interacts.
It is responsible for creating first hand impressions regarding the level of services and
facilities provided, thus, plays an important role in image building of an establishment. The
right avenue where the visitors can inquire for help and other services they need.
Front Office Officers are responsible for guiding guests and maintaining security. It also
includes greeting guests, taking phone calls, sorting correspondence, answering to client
inquiries, maintaining the reception area tidy and organized, updating files and records, and
maintaining schedules.
Tools used in Front Office Services
Tools and its Description Images
1. Bell boy cart/ Bellhop cart- cart used by
bell boys to transport or carry the luggage
of hotel guests.
2. Credit card voucher holder- A container
for storing vouchers and room number-wise
for future reference and verification during
the audit.
Equipment Needed in Front Office Services
1. Computer- computer is a device that
stores, retrieves and processes data. It is
also used in typing documents and storing
information, and monitoring bookings and
reservations of guests.
2. Printer- A machine for printing text or
pictures onto paper
3.Cash register- An electronic device for
registering and computing transactions
which is usually attached to a drawer for
storing cash.
4.Bills detector- machine that detects the
security features of bank notes in order to
determine whether any given bill is fake or
genuine.
5.Card verifier- An electronic equipment
used to validate and process card
payments.
6. VingCard verifier- It is an equipment
used to verify guest VingCard.
7.Telephone- An equipment used to
place and accept bookings through
voice call.
8.Safety Deposit box- A secure container
usually made of metal that is used to store
valuables and is being sealed for the
ultimate safety and protection of items

Front Office Paraphernalia
1. Log book- log/record of important
events in the management and hotel
operational services. It is daily
information about a journey, daily
private personal events, and personal
information of guests.
2. Vingcard Elsafe- is an electronic
device used as a hotel locking system
for safety and energy management
whose origin was in Moss, Norway, an
international producer of hotel locking
systems
3.Luggage tag- An identification tag
which aids the passenger in identifying
his bag among similar bags at the
destination luggage carousel.
4.Key Rack- framework of bars, wires, or
pegs on which keys are originally placed
when leaving the room.
5.Guess Folio Rack- An equipment that
stores guest folios which are arranged by
guest room numbers. Guest folios remain in
the tray throughout the occupancy of the
guest
