Unit 6.1: Collect product Data
1. How do you find out the information about a product?
1) Use a search engine to find web pages with products that are appropriate for
your business idea.
2) Find out facts about each product you want to sell.

2. Give an example of search engine and a browser?


Search engine: Google, yahoo , bing etc.
Browser: Google chrome, Safari, Mozilla Firefox etc.

3. What is a fact?
A fact of a product refers to specific information or details about that
product. Example: name, cost etc.
Unit 6.2: Records and Fields
1. Describe the following:
a) Data: Data means facts and figures.
b) Information: Information is data that has been organized to make it
more useful.
c) Data table: A data table is a grid of rows and columns.
d) Records: A record stores all the information about one item. The rows of
a table are records.
e) Fields: A field stores one type of data. The columns of a table are fields.
f) Key field: The key field stores a piece of data that is unique - the data is
different for each record. The key field is used to identify the record.
Another name for the key field is the primary key.
g) Atomic Facts: The word ‘atomic’ has a special meaning when you are
working with data. It means that you cannot split up the data into
smaller parts.

3. “Best buy strawberry 300g” is this fact atomic? Give reasons.


No, this is not atomic as it can be split into three fields: Best-buy,
strawberry and 300g.

1. What are the data types used in python? Explain.
a) String variables: hold text values. The computer holds this data using
ASCII values. ASCII data cannot be used in calculations.
b) Integer variables: hold whole numbers only
c) Float variables: can hold any number, including decimal values.

2. What are the 2 important data types in a data table?


• Text data: cannot be used in calculations
• Number values: can be used in calculations.

3. What is Text data? What is the alignment of text data in excel?


Text data can include any character that you can type with the keyboard.
Here are some examples of spreadsheet cells that hold text data.
Text data is left-aligned.

4. What is Number values? What is the alignment of text data in excel?


Number values represent a quantity or amount of something. Number
values are shown using the digits from 0 to 9. Numbers might include the
decimal point or the negative sign.
Number values are right-aligned.

5. Give some of the number formats.


• Percentage style
• Accounting number format for currency
• Comma Style - to show large numbers with thousands separators, for
example,1,200,000
• Increase Decimal - to show more decimal places
• Decrease Decimal - to show fewer decimal places
6. How will formatting a table help?
Formatting as a table will make it easier for you to work with your data.

7. What is currency?
Currency means a money value. Eg: $250

1) What is Stock?
Stock is a business term. It means all the items that the business owns. It can
include:
• products for sale
• raw materials and items being made in the business
• other things the business owns, such as tools

2) Explain the following:


a) Opening stock: This is the number of items in stock to begin with.
b) Stock in: This is the number of items that come into the warehouse.
c) Stock out: This is the number of items that go out of the warehouse.
d) Closing stock: This is calculated from opening stock by adding stock in
and subtracting stock out.
3) How can you calculate stock value?
Stock value = (Closing stock) x (cost)

4. How can you calculate the total value of all the stock that a business has?
We can calculate the total value buy adding all the stock value. We can use
AUTOSUM function for this.
Unit 6.5: Show bad data

1. Sometimes the number of items in the warehouse does not match the
closing stock number. Give few reasons.
• The count during the last stock check was wrong.
• Workers have not recorded stock changes (stock in and out)
correctly.
• Workers have put items back in the wrong place.
• Some items may have been broken or stolen.

2. What is data validation?


Validation is a way of checking data. Validation uses rules to check the data.

3. What are the 2 types of data validation?


Validation of data that is already in the data table: If the data breaks the
rules, it is highlighted so you can find and change it.

Validation of data entry: If the data breaks the rules, you cannot enter it in
the data table.

4. What is a bad data?


Bad data is the data that contains error.

5. What is invalid data?


Data that does not obey validation rules.

Opening stock is the number of items in the stock at the
beginning. This cannot be a decimal or a negative value.

than or equal to 0.
Stock in is the number of items that come into the warehouse. This value
cannot be zero or less than zero.

4) What validation rules would you use for the data in the ‘Cost’
field?
Cost value cannot be less than or equal to zero.
