1. Project Justification & Business Case


The university currently relies on in-person instruction and fragmented digital tools,
which limits scalability, creates inefficiencies, and hinders the student and faculty
experience. The implementation of a centralized Learning Management System (LMS)
is proposed to address these challenges. This initiative will enable modern
blended/online learning models, improve student engagement through centralized
access to resources, streamline faculty workload via automation, and provide the
administration with performance analytics. This project is a strategic investment to
modernize the university's educational delivery.

2. Project Goals & Objectives


The primary goal is to successfully create a centralized LMS within a single
department over a 4-month period.

Key Objectives:
●​ Deploy a functional LMS platform for UBIT, serving as a single source for
course content, assignments, and communication.
●​ Enhance student engagement by providing 24/7 access to learning materials
and interactive tools.
●​ Reduce faculty administrative workload by automating tasks such as grading,
attendance, and assignment distribution.
●​ Improve academic oversight by enabling tracking of student’s attendance and
automated GPA calculation.
●​ Establish a scalable model that can be refined and rolled out to the wider
university community in future phases.

3. Scope
In-Scope:
●​ Gathering requirements and defining KPIs for the department.
●​ Designing system workflows and user role configurations.
●​ Configuring, developing, and testing the selected LMS platform.
●​ Conducting functional and User Acceptance Testing (UAT).
●​ Migrating initial course content for the department.
●​ Training all faculty, staff, and students within the department.

●​ System design document (application flow)
●​ A fully configured and tested LMS platform for the department

5. High-Level Requirements
The project will be executed in four distinct phases over four months.

Risk Mitigation Strategy

Data Privacy & Security Ensure the chosen LMS complies with all data
protection regulations. Implement strict access
controls, data encryption, and conduct regular
security audits.

Resistance to Change Develop a comprehensive change management


plan that includes stakeholder engagement,
clear communication about benefits, and
extensive training programs.

Technical Issues Select a reputable LMS provider with a strong


record of reliability and support. Establish a
dedicated internal IT support team to handle
user issues promptly.

Deployment Failure Adopt a phased rollout approach, starting with


this pilot program, to allow for testing and
refinement before a university-wide launch.
