communication in the organization (25 marks)

I. INTRODUCTION
What do we mean by effective communication? Especially in an organization? We often
study about it books and online but one can only experience and implement it through our
own real-life experiences. It is easy to say that this is the communication barrier and this the
solution, effective communication only takes place when you actually implement it.
Communication is always two ways, never have we ever heard that it is one way. Since the
COVID-19 outbreak everything being digital has made individuals to work remotely.
Therefore, employers have to invest more time and effort in team building and connecting
with their employees. Through this interview we will learn the various aspects of
communication process and even the barriers of communication process.

II. FINDINGS
To summarize the entire interview these are some of the points that found out and are
mentioned in the interview.
 According to the interviews I found out that communication and its barriers are
different from individual to individual but the main aspect is common in all the three
interviews that is for effective communication, one has to be clear while conveying
their message that is clarity is a must.
 Listening to the other person as well as conveying your points because an employer
who does this increases the trust amongst employees.
 Building up team work that is very important in any organization because a team
without coordination is team set to fail their goals.
 Building employee and employer relationship basically trust because it builds a long-
lasting relationship in workplace.
 To raise your voice whenever necessary and to clarify things if you feel things if
something bad is being portrayed about you.
 Respect everyone in your workplace and be work appropriate, not to pass any mean
comments and be disrespectful towards others.
 Help your colleagues whenever necessary and help them to overcome their problems
if someone is facing any.
 Have positive mindset and be open to criticism never take it in a negative way
because taking the criticism and working on it would showcase that you are ready to
work in yourself and excel at what you are doing.
 Have a friendly approach towards others but not that friendly just enough so that
person ahead of us is comfortable talking to us. Over friendly can send a wrong
message which is not correct for an individual.
 Communication is not only verbal but as well as non-verbal. Your body language,
gestures, everything plays a vital role in effective communication so that the right
message is delivered.
 Never to be arrogant try to be approachable as this send a negative feedback about
yourself.
 Yes, Language, gender, experience and culture does play a vital role in effective
communication, these differ from person to person and also different situation.
 Language however is a barrier in effective communication as pointed out in interview
2 and 3. Using appropriate language and approach is necessary to solve this kind of
problem.
These were the finding which I understood from the interviews.

III. SUGGESTIONS
Some of the suggestions that I would like to point out and some of the points that others
missed for effective communication are as follows
 An individual must be empathetic towards another because we never know one might
be going through.
 Be confident but never to be over confident this may send a message of you being
arrogant or moreover aggressive in nature.
 Guide the individual in the right direction and give honest feedbacks but with an
empathetic tone. Make sure that your point is reached out
 Always to build connection, connect with you employees, listen to what they are
trying to convey to you because there’s always a difference between hearing and
listening. Very few people understand the difference between these two.
 Some employees may psychological problems but never seek for help or show that
they need help as a good individual we can help them overcome their issue, just by
asking them “Do you need me do anything for you? I’m here if you need me”. Just
saying this too could ease out a person’s stress. Knowing that there is someone who
watches out for them.
 Be truthful to what you do never defy in your work show accurate results and
accounts.
 Be enthusiastic and never be disengaged in a conversation because this damages the
reason for effective communication.
 Avoid conflicts it can be due to various reasons but being professional in such
situations shows your attitude and personality

IV. TRANSCRIPTION
INTERVIEW 1
Me: Good morning ma’am. How are you doing today?
Interviewee: Good morning! I’m doing good. Thanks for asking. I hope this is going to be
short interview.
Me: Yes, ma’am definitely. Quick and meaningful.
Interviewee: Haha……indeed.
Me: So, shall we begin with our interview?
Interviewee: Yes, yes go ahead.
Me: So, can you tell me about the company and experience that you work in?
Interviewee: I work in Tata Telecommunications, in collections department as a DGM. This
was the company I never expected to land a job, but since the day I have joined TATA, my
life has changed. It’s been 10 years since in have been working in TATA and let me tell you
the journey wasn’t easy. I had to learn and undergo many trainings to reach where I am
today, work under the pressure and excel at what I do. Well, there’s a saying called as with
great power comes responsibilities, yup I understand this quote very well now.
Me: What according to you are the company’s expectations for effective communication in
workplace?
See, this depends from company to company and also the job profile that you’re seeking your
job under but yes, the major aspect that any organization looks for is a good communicative
employee, who can handle tough situations as well as who listens and connects with their
employees and employers. Has a clarity while conveying their message to others because
look if there’s a communication gap it is obvious that the task assigned to us would be
affected in some or the other way. So, yes these are the things I feel are essential in an
organization.
What were the barriers or challenges that you faced while communicating with others and
how did you overcome these challenges?
Interviewee: Well, I’ll tell you a story of mine, when I had got my first promotion, the people
who I had initially worked with, I could see some communication and behavioral change of
them towards me due to which my communication with them was being affected majorly. So,
I thought instead of just sitting here and overthinking on these situations why not clarify with
them and clear their thoughts. When clarified it turns out that they thought I was given a
promotion because I had good relations with my boss, I really felt hurt after listening to this
but when asked who started or spread these rumors, it was just that one person I wouldn’t
name her, had been held off of her promotion this year because I got the promotion instead of
her. Rest is all in the past but my motive of telling this was because if I wouldn’t have
clarified things with others, they still would have been in an assumption that I got my
promotion because I had good relations with my bosses and not because of experience and
work. Yes, maintaining good relations also has a positive side which she lacked in and this
took a major toll on her job.
Me: Did your culture, gender or experience have any affect in communication with others?
Interviewee: Frankly speaking no, when I had joined TATA, I saw a really diverse culture
with that diverse mindset. In any organization there will be a small percentage of people who
no matter what would never be on the same page as you, you can call it a disconnect or
jealousy. People were very welcoming and to be honest there nothing as a cultural
background or gender aspect but yeah being a female, there was never gender discrimination
in the organization. Everyone was treated equally and given equal opportunities. Yes, there
will be people who will try to bring you down and test your patience but here you just have to
focus on your goals and work on yourself.
Me: Thank you so much for taking out your time and giving this interview. Have a nice day
ahead.
Interviewee: You’re welcome. Hope I answered at least some of your doubt and questions.
INTERVIEW 2
Me: Good morning sir! Hope you’re doing good today.
Interviewee: Good morning Dear! Yes, I’m good. Hope you’re doing good as well.
Me: Yes sir! So, shall we begin with the interview?
Interviewee: yes please! Go ahead ask your questions away
Me: So, can you tell me about the company and experience that you work in?
Interviewee: I work in Reliance as General Manager in marketing department, the experience
with reliance is a mixed experience for me. I had joined reliance for growth in my career as
my previous job had no scope. I was hired as the Senior Manager, everyone was welcoming
but as I was directly recruited as the senior manager, there were some employees with whom
there was a disconnect in the beginning. First being that I had no connection or relationship
established with them second being it was going to be task establishing my roots in that
company but eventually it worked out as I planned and now here, we are.
Me: What according to you are the company’s expectations for effective communication in
workplace? How would you suggest to improve effective communication?
Interviewee: From my experience for effective communication social skills are required but
also non-verbal skills are required. You can’t just go inappropriately dressed to work, your
gestures, the way you communicate all these factors too play a role in effective
communication. The way you adapt to new ideas and how you grasp it. My suggestion for
effective communication would be to have a positive mindset and open to suggestions as well
as have the courage to take criticism. Have a purpose and be goal oriented. Acknowledge
other’s ideas and motivate them. Respect other’s boundaries as well. Also never to be
arrogant or rude towards others.
Me: What were/are the challenges that you faced while communicating with others and how
did you overcome these challenges?
Interviewee: With this pandemic, everything is digital and online. So, connecting with
everyone physically and to understand what the person in front of is going through is a little
bit of a difficult task to understand. So, physical barrier is the main challenge which not all
but some may be facing, you can count me in, in that. Still working on overcoming this
because even though we are connected virtually, it is difficult to connect with the employee
sometimes. The other aspect is due to virtual platform there are some employees who be
dishonest about their situation. Even they are not sick they’ll call in sick. That’s why I
mentioned physical barrier.
Me: Did your culture, gender, language or experience have any affect in communication with
others?
Interviewee: All of these aspects according to me play a major role in effective
communication. Language especially because some may not get the point which you have
tried to convey, a person may take it in a friendly way while the other might get offended. An
individual will understand this through experience.
Me: Thank you so much. It was great interviewing you! Have a nice day ahead.
Interviewee: Thank you so much Dear. You too.

INTERVIEW 3
Me: Good Afternoon Sir! How are doing today?
Interviewee: Good Afternoon! All well. I mean what can we even expect in this pandemic.
Me: Yes sir! True. So, shall we begin with our interview?
Interviewee: Yes. Why not!
Me: So, can you tell me about the company and experience that you work in?
Interviewee: I work in TATA Telecommunications Billing department as a DGM. My
experience in the company is very pleasant if we ignore the work pressure and the targets that
needs to be achieved. There is a very positive and goal-oriented atmosphere in the
atmosphere which is essential in an organization.
Me: What according to you are the company’s expectations for effective communication in
workplace?
Interviewee: Okay! Well in a company to have effective communication it is necessary to
have a clear vision of your goals and targets so that you convey it to them clearly. Be polite
and not inappropriate in any manner. Listen to your employee but at the same time make sure
you are heard crisp and clear this will cause less conflicts in workplace. Work as a team and
collaborate with each other this will increase motivation and build an effective team.
Me: What were the barriers or challenges that you faced while communicating with others
and how did you overcome these challenges?
Interviewee: Connecting and trusting people was a challenge for me when I had initially
started working in TATA. There was a sense of fear that what if I said something and the
other person may get offended from it? Being an introvert, it is sometimes difficult to connect
with people because I’m not that kind of person who would approach someone first. It takes
time for me to develop that comfort level but overtime I have understood this the hard way
that unless and until I open up, connect and talk to others I won’t establish a proper
workplace relationship between me and my employees. So, I have been working on myself
for bettering at this.
Me: Did your culture, gender, language or experience have any affect in communication with
others? How would you suggest to improve effective communication?
Interviewee: In some way or the other language does play a major role in communication
because if the person in front of us isn’t familiar with our language and we with theirs, it
would be difficult or in polite way to put it, a task to connect with them. Whereas, gender and
experience does play a role in some areas but in my opinion, experience comes through time
and work you do. Talking about effective communication, one should be confident in what
they say as well as be clear and empathetic why communicating with others. It is necessary to
understand others point of view as well and have a friendly tone because you’re not just being
a boss here, you’re also being a role model to others and the future generation.
Me: Thank you so much for sharing your viewpoints. It was wonderful doing this interview
with you.
Interviewee: You’re welcome.
