Integration with SAP Document Management Service, Application Option

The SAP Document Management Service, Application Option is a standalone, ready-to-use web
application that provides document management capabilities for your enterprise content. It is
integrated with the Document Management System (DMS) solution in SAP S/4HANA. DMS offers
document management capabilities that allow you to create, process, and manage your business
documents throughout its lifecycle from its creation to archival. A document info record or DIR is
created for every document or folder that is created in the application. The term document info record
refers to the document master record in the SAP System. It stores the metadata of the document (such
as the storage location) and the original file (for example, the design drawing) that contains the actual
document content.

Key Features:

 Connect to your business storage: Allows you to access your enterprise content from
CMIS-compliant repositories.
 Connect to SAP storage: Allows you to use the Document Management Service,
Repository Option to securely store and manage your business documents.
 Manage documents and folders: Allows you to create, edit, download, and delete
documents and folders.
 Create External Links: Ability to create link files. You can click on the link file to navigate
to the external URL.
 View your documents: Allows you to view your images, PDFs, and vector graphics using
the built-in viewers. Supports for other file extensions are provided via an option to
download the documents.
 Restructure your document hierarchy: Move and copy your folders and documents to
other folders within your repository.
 Manage metadata: View and edit the basic document and folder properties supported
by your repository.
 Personalize the user interface: Customize your document list by sorting based on the
attributes of the documents and re-arranging the order in which the columns are
displayed.
 Manage document versions and status: Create one or more versions for the base
version of a file. Manage the workflow of a document to avoid unintentional changes.
 Stricter product liability laws mean that it is becoming increasingly important to archive
documents during the life cycle of a product. The quality of a product includes the
production process and the whole organizational environment, as well as the product
itself. A company that wishes to be certified for quality management (ISO 9000 to 9006)
can only meet strict quality requirements by using high-performance document
management functions.
 Document management is available on the SAP GUI and on the PLM Web user interface.
 Document management is one of the central functions within Logistics.
 When you use document management, you create document info records and you
assign original application files to the document info records.

 Document info record (DIR): This is the master record in the SAP system that describes
one or more original application files. It is the main object on which document
management is based.

 Original application file (original): This is a file that can be generated by any application,
for example, Microsoft Office files, or graphic files such as JPF files or TIF drawings. You
can assign one or more originals to a DIR.

 The DIR contains all relevant data such as user responsible, classification information,
object links, status information, and metadata, including the description.
 You can edit the documents in the folders via entries in the context menu:
 Display
 Change
 Create
 New Version
 As Template
