Small Parcel Shipment

Station and profile set up for small parcel shipment are below reported in red:

Small Parcel Single Package Shipment

Enter transaction code /ERPIS/SHIPERPN in the command field and press Enter.

The Login screen will display. Populate the Shipping Station field and the Shipping
Profile field and click Enter.

The ShipERP screen will display.

Enter the appropriate shipment document number and press Enter. All the information from
the shipment including packing information will be displayed.

- Ship to and ship from details are available on the left bottom section
- Carrier, service and billing option are available on the bottom right section.

 Put the package on the scale to weight the package.

If not using external scale enter the weight for each package: select the HU and enter weight
manually on a Small Parcel tab.

 Validate weight and dimensions. If dimensions are incorrect select custom Dimension
icon to select the dimension of the package on the scale or Select the manual Entry
to enter the dimensions manually

o Double click on the appropriate Box type

 Validate payment options
o If 3rd Party or Collect make sure ZIP, Account No. and country is entered
o Should auto populate if entered correctly in sales order
 Select the Service tab if special services are needed

 If PPAID a rate quote can be done if needed (Optional)
 Select Execute (F8) to process the shipment
o Shipping label should print
o If international shipment, Commercial invoice, certificate of origin and SLI (for
amount greater than 2,500 should be printed)

Once all the information is entered on the screen hit Enter.

Notice the following screen with tracking information will pop up with.

Important note:

Custom enhancement for off line carrier

If billing option equal to PPAID and ADD and no rates are found for freight cost in ShipERp
customizing, a pop up will be displayed during shipment processing requiring the user to
enter the freight cost if known. If no known the field can be blank and not freight will be
updated in the delivery.

Small Parcel Manual Shipment

The Manual Shipment function allows you to create shipments without having to create a sales
order, delivery, transfer order, invoice. This is an advantage if you have one-time or occasional
customers and for no-stock materials. You can enter the customer information directly into the
Manual Shipment screen without having to create a Customer Master Data for every one-time
or occasional customer. You will be prompted to either select a preexisting Ship-To number or
enter a new Ship-To customer, which will be saved in ShipERP tables for future use.

 Enter a Ship To address

o To get an address from the SAP select

o To get an address from a previous manual shipment select right of the Ship To
Number field
o Manually enter address if one does not exist
 Enter the number of packages to be shipped and the HU will be created automatically
and displayed on the right side of the screen.

 In the Small Parcel tab, select the desired carrier and service. Enter the weight and press
Enter
 If international shipment you will need to fill out the fields in the content section

 Notice after the weight is entered; the weight in the Freight Units section is
automatically updated.
 Click Execute to complete the process.

EOD CLOSE for UPS Supply chain (carrier code UPGA)

Log into the station, enter the small parcel and profile code and press enter.

Select from the top menu GOTO > CLOSE

The following screen will show up

Select from the drop down list carrier UPGA and the shipping point.

Then click on the clock icon and the end of the close will be triggered automatically, the following pop
up will show up as confirmation and manifest will be printed.

International Shipments
For International Shipments, there are requirements with which you as the sender must
comply.

Declared/Customs Value
For International Shipments, the Declared/Customs Value field is required to be populated with
the value of the content being shipped. For Manual Shipment, you can manually populate the

field. For Parcel Shipment, the field will be populated automatically after the delivery number is
entered. You can edit this field, if needed. If the field is not populated at the time of the
shipment execution, the system will display an error message on the bottom left of the screen.

Enter the value in the Declared/Customs Value field in the Small Parcel tab.

International Tab
When shipping an International Shipment, you will see an International Tab appear.
Enter the billing option in the Duties & Taxes section

The information for the Shipping Documents section and the SED/EEI Filing section can be
entered in the International Tab as well.

Note: While using AES direct module in ShipERP ITN number will be updated on delivery
ShipERP additional Data tab one the EEI request was submitted and ITN number issued by AES
Direct.

Once scanning the delivery into ShipERP if ITN number is available will automatically show up
on international tab.

Documents Only
When shipping documents internationally, you do not have to enter a declared value or pass
any commodity information. To indicate that you are only shipping documents, you have to set
the Documents Only checkbox.

After you have entered the document number, the Documents only checkbox will be visible.
Make sure the Documents Only checkbox is selected, and click Execute.

Cancel Small Parcel Shipment

A shipment can be cancelled and reprocess when needed but only if the invoice has not been
created yet. If the invoice has been created, the same needs to be reversed prior to cancel the
small parcel shipment.

 Select the option to cancel

o Delivery
o Tracking Number
o Handling Unit

 Enter the document number

 Select Enter

 Once Cancelled you can reprocess the shipment

Reprint Shipping Label

Upon successfully creating the shipment, the carrier label(s) and all applicable shipping
documentations will be printed automatically. You can reprint the shipping label if needed.

From the menu bar, click Shipment and select Reprint Output.

Notice the Restrict Value Range pop-up screen will display. If no other field is populated besides
the Created On field, the system will search for all of the orders created on the specified date.
Click OK or press Enter.

All of the labels created on the specified date will be displayed, from which you can select to
reprint.

Click OK to reprint.

Notice, Enter Printer screen will pop up. If you leave it blank document will be printed to
default printer.

Notice the Information pop-up screen will display, which confirms the shipping label has been
reprinted successfully. Click OK to close the pop-up screen.

Upload PRO Numbers – for Off Line carriers

PRO numbers are a series of numbers that are usually 7 to 10 digits used by the carriers as a
reference for freight movement. A label consisting of the PRO Number is placed on each pallet
and used for tracking the entire shipment as it enters and exits the transfer centers operated by
the carrier. You can upload PRO numbers by number range or by file.

In the Planning screen, click Edit and select Load Pro Numbers.

Choose Shipping point and carrier to upload pro numbers

Add pro numbers range with no check digit and hit upload

Notice the Information screen will display. Click OK to return to the Upload Pro Numbers screen

Reporting - Tracking
The reporting is designed to provide predefine reports as well as user designed reports. All
reports including Z reports can be configured to appear in the reporting section.

To access the reports just click “Reports” button on the toolbar.

 Select possible entries to display available reports

 To access the Reports just double-click the desired report
 To run the report click execute
