STS_HR_09 Internal Job Posting Policy
1. PURPOSE:
The main objective of internal job posting is to provide employees with opportunities for job
enrichment and career advancement.
2. SCOPE:
Policy is applicable to –
Employees working on the rolls of company and have completed 2 years of service in the
same department.
Employees working on off rolls of company.
3. APPROVAL:
Every vacant position (new/ replacement) follows the application for vacancy approval process.
4. SELECTION PROCESS:
HR shall publish IJP via email to all employees. The vacancy notification will
remain open for 15 days.
Once the advertisement is closed, the profiles of eligible candidates will sent
to the concerned Head of Department.
Short listing of the applications will be done by department manager on the
basis of applications.
Basis shortlisting, HR will invite applicant for an in person interview through
the proper channel.
The shortlisted candidates are to attend the interview and cannot be discouraged
against the same by any employee of the company.
Having given a confirmation to attend the interview, the applicant will have to be
present for the same, inability to be present has to be communicated to the concerned
HR in advance.
The candidate is required to discuss all the queries that he/she may have
about the position during the interview.
HR will communicate the decision to the current department manager of the
selected candidate. All the candidates who have not been selected will also be
informed by HR.
In case an employee is transferred to another department during the appraisal cycle
his/her last year performance will be considered.
The selected candidate has to be released by the current department at most within 3
months from the date of receiving the release. In case the relieving department is
seeking for replacement, the selected employee shall be transferred within 1 week
from the date of joining of his/her replacement.
Receiving department and relieving department shall follow the transfer process.
Receiving department shall finalize and share transferred employee’s job description

with HR along with dully filled Department change request form as mentioned in
section.

Any transfer irrespective it is through IJP or otherwise shall follow the transfer
process.
Post completion of transfer process, HR department shall issue transfer letter to
employee on the date of transfer.
Employee will be transferred to his new assignment on the system with all the
necessary administrative charges.
Transferred employee should be offered all adequate training, infrastructure and
tools to perform his/her duties effectively.
5. VACANCY NOTIFICATION:
Open vacancies shall be communicated to employees via email and it shall be
published on company intranet portal. The Vacancy Notification will contain
the following details regarding the post advertised for:

Last date for submitting application
6. REPALCEMENT:
Human Resources Department would arrange for a replacement – external or
Internal for the vacancy created in the relieving department however the reliving
department manager would undergo the vacancy approval process.
