In case of Corrective Maintenance


1. Itemized Requisition.
 Inputs: inventory (vessel / warehouse).
2. Coding.
 Inputs: detailed spare parts stock.
 Related departments: Coding Department.
3. Offers.
 Related departments: PUR.
4. Technical acceptance
5. Purchasing reasons.
 According to company’s rules.
 Additional reasons
6. Issuance of PO / FOA.
 Related departments: PUR / FIN / WAR / Shipping / GR / PR.
 Outputs: Payments terms / Delivery period / delivery
method.
7. Sending materials / technicians to vessel.
 Related departments: WAR / ADM / GR.
8. Vessel receiving the materials / Execution.

Notes:
 After receiving materials, request to be issued to Administrative
Department to prepare trucks to send SP and materials to vessels.
 After issuing FOA to technicians, request to be issued GR
department to prepare needed permits for personnel to enter
country and to embark the vessels.
 After technicians’ arrival, request to be issued to PR department to
prepare lodging requirements.

 Vessel inventory process

1. Maker’s Manual.
2. Spare parts list.
3. Add to system (preferred to be added by SAP).

 Certificates process

1. Type (Class / EAMS / Equipment).


 Inputs: Issue date / expiry date / renewal requirements /
interval.
2. Add to system.

Notes:
 Request for Marine department to renew EAMS certificates before
expiry.
 External Request for Class to renew its certificate.
 Notifications of certificates expiry before their expiration date.

 Personnel Process

1. Certificates follow up (issue date / expiry / intervals).


 Related departments: Admin.
2. List of personnel as per:
 Operational requirements.
 Stand by requirements.
 Docking requirements.

Notes:
 Request to admin department to renew expired certificates
before expiry.
 Deficiency in personnel numbers to be ordered / alarmed by
admin department.

 Accreditation process:

1. ISO 9001 / 14001 / 45001 requirements (Forms – Follow up – NCR


follow up … etc.).
 Related departments: QC.
2. ISM requirements (Forms – Follow up – NCR follow up … etc.).
 Related departments: DPA.
