Corporate Cell Phone Use Policy

Objective: This policy aims to establish guidelines to regulate the allocation and
use of cell phones, the acquisition and use of which is financed with resources
from the Panamerican Training Center.

Scope: The rules and regulations contained in this policy are mandatory for all
officials who comply with the requirements and conditions established therein.

Guidelines and Policies:

 The company has stipulated an amount of $200,000 for the purchase of


cellular equipment for operational charges regardless of the assigned plan.
 For administrative charges, an amount of $400,000 has been stipulated
regardless of the type of plan assigned.
 In the event that the value of the cellular equipment requested by the official
is greater than these established amounts, the official must assume the
surplus, either by payroll deduction, or by cash payment at the time of
purchase.
 The administrative director is the only one in charge of requesting the
acquisition of new lines, purchase or replacement of equipment, change of
plan or cancellation of the same, before the operator.
 In the event that the administrative director cannot carry out the procedure,
the administrative assistant with prior authorization can carry out the
procedure in compliance with the PTC parameters. and the cellular
operator.
 Replacements of cellular equipment are authorized every two years
depending on use and need.
 Cellular equipment that is deregistered due to conditions of use and
condition must be delivered to the administrative management for
subsequent management in the fixed assets registry. If it still works, it must
be kept as a backup element and, if necessary, Emergency can be assigned
temporarily or definitively depending on the need.

Plans: The plans that PTC currently has are explained below. to assign cell
phones.

 Free and Internet Plan: no call limit and unlimited Internet access.
 Free Plan: no call limit.
 Fixed Plan: fixed number of monthly minutes to talk to non-PTC cell phones
or landlines
 PTC cell-to-cell calls are free on all plans.

Allocation: Mobile phones will be assigned according to the following criteria.


Mobile phones with Free Plan and Internet will be assigned to the following
functions:

 Manager
 Director
 Boss
 engineer
 Administrative assistant

Request: The assignment of cell phones specifying at least the following


information:

 Official's full name


 Role played
 Name and position of Immediate Leader
 Justification of the request

Delivery: The cell phones, as well as their respective accessories (batteries,


chargers, cases, etc.), will be delivered solely and exclusively to the direct person
in charge, completing the delivery form, which will include a detailed description of
the good and its accessories as well as as its status at the time of delivery. A copy
of the form will be given to the official and another will remain in the Administrative
Area.

When the official returns the cell phone, the section of the form intended for this
purpose will be completed.

Usage Criteria:

 The use of the cell phone is restricted exclusively for PTC work tasks, both
in terms of calls and Internet access (for cell phones that have said Plan).
 The administrative area can apply controls on invoices in order to determine
if cell phones are being used for work tasks only.
 Controls will be carried out by the Technology Area, both with regard to the
calls made, as well as the Web pages visited and Internet consumption (for
cell phones that have said Plan).

Additional Cell Phones: The Official who requests the use of cell phones must
not have another line or equipment provided by PTC.

If so, you must deliver it previously. Likewise, the request for assignment of a cell
phone must be made by the Area Manager or Head of Consulting before the
administrative management.

Repairs, Losses, Thefts, Failures and Damage to Devices


 In the event that the cellular device fails within the warranty period
established by the operator and the failure corresponds to manufacturing
problems, the cost of said repair will be borne by the operator.
 In case of loss, theft or damage to the cellular device, the cost of repair or
replacement is the user's responsibility.
 In the event that it is necessary to replace it due to irreparable damage, theft
or loss, the cost of the new device is the responsibility of the user.

Official's Commitments:

 Make proper use of the cell phone for tasks related to your position.
 Sign the cell phone delivery certificate.
 In the event of theft or loss of equipment, act diligently and immediately as
follows:

 During office hours, immediately inform the administrative director.


Outside office hours, contact the cellular operator to request the
blocking of the chip and the equipment through *611 from a mobile
phone, or by attending any of its commercial offices.
 Send by email to the director a copy of the corresponding police
report, within a maximum period of one (1) business day.

 Ensure good care and maintenance of the cell phone in your charge.
 Report any anomaly regarding cellular equipment to the administrative
director so that the corresponding repair can be made.
 Comply with the provisions on the use of cellular service that are
established.
 In the event that the official stops working at PTC, he or she must deliver the
cell phone along with the accessories that accompany it within a maximum
period of five (5) business days.
 Obligation to respond to calls or messages:

 The officials who carry out the functions will have the obligation to
answer the cell phone on a 24 x 7 basis.
 Managers and area directors must be able to be contacted outside of
work hours in the event of any emergency; for this, they must have
their cell phone on after hours.
 Officials who perform guard duties or specific tasks for which the cell
phone was assigned must answer it during said hours.
 The rest of the officials to whom cell phones are assigned will be
obliged to attend to it during their work hours.

Obligations of the Administrative Director:


 Maintain a duly updated list of assigned cell phone numbers. Said list must
contain at least the cell phone number and full name of the official
responsible for the number, in addition to the model, brand, serial number of
the device, assigned line number, plans and rates applied.
 Manage the change or replacement of equipment due to the different
eventualities that may arise.
 In cases of loss, theft or damage, the equipment will be replaced with the
same or better conditions.

Refund in Case of Termination of Contract

 In the event of termination of the contract of the collaborator who has been
assigned a cell phone, it must be delivered to the corresponding
administrative address at the time of being notified.
 The cell phone number cannot be transferred to the unlinked person.
 Excess consumption above the quota that has occurred on the date of
notification will be deducted from the settlement. To do this, a detail of the
consumption will be requested from the cellular operator.
