Unit 2: Use of time.
Importance of time management.
INTRODUCTION
What is the importance of time management on a personal and professional level?
Time is limited. No matter how we divide it, there are only 24 hours in a day, and it is necessary to know
how to manage them if we want to be efficient and productive in our work life and feel energetic and
happy personally, something that increases our quality of life.
Time management refers to the way in which one organizes and plans how much time one spends on
specific activities. Spending more hours in the company does not mean being more efficient or productive.
For this reason, proper time management at work is essential. Its importance lies mainly in the fact that it
helps us to:
Be more productive and efficient. Proper time management allows you to achieve more with
less effort. When we learn to manage our own time, our ability to concentrate improves. And
greater focus generates greater efficiency. Time management allows us to complete tasks more
quickly and to make the workday more effective and better utilized.
Achieve objectives in less time. The time we need to carry out our daily challenges and tasks
already exists; we just need to know how to manage it properly in order to meet our daily
challenges in an agile and efficient manner.
Obtain a better professional reputation. Time management is the key to success, as it allows
us to become aware of our life and take control of it, instead of following the flow of others'.
Suffering less stress. Once we learn to manage our time, stress and anxiety levels decrease
significantly at work and we feel more energized to tackle our daily tasks. An efficient workflow will
allow us to develop new skills to perform our work efficiently.
Improve decision-making capacity. Through effective time management, it is possible to
eliminate the pressure of feeling that you do not have enough time and, from calmness, to
adequately weigh each option that comes our way.
Increase self-confidence. Seeing that we meet deadlines and exceed expectations is a highly
motivating factor. Conversely, not doing so and fighting against time to keep up leads to burnout.
Self-discipline. The better we manage our time, the more self-discipline we will have and the
easier it will be to achieve our goals.
Improve quality of life. Proper time management will allow us to have more opportunities to enjoy
our hobbies, play sports, spend time with our family or get together with friends. This quality time is
priceless and very important for our physical and emotional well-being. Everyone needs time to
relax, enjoy and rest. Having good time management skills helps us find those moments of
relaxation.

Unit 2: Use of time.
Importance of time management.
Therefore, investing time in learning time management strategies, methods and techniques is a key job
skill today that will bring significant benefits throughout your career.
Fernandez despite being a good salesman, from the beginning it was known that he had
friction with his colleagues, which could be misinterpreted with some level of envy, however,
knowing that customers were complaining and one is specific was lost by the attitude of
Fernandez, may be falling into a bad or little importance in time management, since
perhaps He may be constantly in a stressful situation that prevents him from organizing his
time to prioritize and work as a team, he only attends to the day to day that usually
becomes firefights and problems that need to be addressed, not in making a continuous
improvement in the process.
I would talk to Fernandez as he has proven to be a good salesman, the talk would be
focused on time management and teamwork, put his tangible and achievable goals, as well
as the responsibilities of his position and what is expected of him.
I would put together a work plan which I would follow up with him for three months in which
an improvement should be seen, after those three months I would expect a work plan from
Fernandez towards the company and that he would be driven to make a continuous
improvement in the processes and in his work, having clear what is expected of the position
and that it is an important part of the process so that everything goes well.

Development: Check off what you need to address in each of the following categories:
Personally, I do not think I have an imbalance in the number of activities I have to attend, on the contrary I
have tried to have a balance in all aspects of my life, possibly I focus on giving priority in those that I have
a greater area of opportunity, than in those that I already dominate, for example in my work I am very
good and professional, I try to give the best of me, but I do not stress if something does not come out on
time or sacrifice time that I can take with my family. However, I no longer get stressed if something does
not come out on time or I sacrifice time that I can take with my family, since I have understood that there
will always be pending, of course at a professional level I have prioritized which pending really need my
attention and I may be a little late to my house, but once at home the time belongs to my family.

Using your time log as a basis, draw your conclusions and record your answers to the following questions.
1. How could you improve your time management?
Keeping a notebook where I write down everything that is done during the day, what is pending and
what is pending, prioritizing each one.
2. Which part of the day is most productive for you, which is least productive, why?
In the morning it is the most productive, in the evening it is the least productive because exhaustion is
already being felt.
3. What are the repetitive patterns of inefficiency? (e.g., waiting for something, looking for a lost object,
interruptions, etc.).
I put my cell phone on things like social networks and videos where I only mediate and do not do
anything productive, I simply postpone what I have to do, finishing later or not fulfilling.
4. Is there anything you do that is unnecessary? (feel free to express yourself; this list is simply for your
review later).
Social networks and television viewing.
5. Are there any activities that are not relevant? (Again, please note that these are only prospects to be
reviewed at a later date).
In my opinion, it does not
6. Where can you find opportunities to improve your efficiency?
9
Unit 2: Use of time.
Importance of time management.
In the way in which I invest my time with my family, since work has rules and responsibilities, its
purpose is to fulfill clear objectives, but in my family each person thinks differently and we must reach
agreements to have a better coexistence and development.
7. On what occasions do you allow yourself to be distracted from a priority task?
When an emergency and/or important family event arises.

Put aside the phone and/or office chats that do not lead to achieve the objectives.
9. On average, what percentage of your working hours are you productive? What is your reaction to these
figures?
5 hours I am productive, since the other 3 hours are due to fatigue, conversations with the staff that are
not appropriate to achieve the objectives, food, etc.
EXERCISE
Effective management of meetings and work meetings.
1. Mention the most common reasons for appointments to meetings or business meetings.
- To publicize new projects
- To publicize the company's objectives and results.
- To request support from the areas involved
- To analyze the mistakes that have been made and to avoid them in the future
2. Describe your participation before, during and after a business meeting.
a) Before. To review the objective of the meeting, if I call it, to be clear about it and if someone else
calls it, to know in which part I can support.
b) During. Present and/or listen to the key points to be discussed and reach agreements.
c) Afterwards. Make a work plan in order to comply with the established agreements.
3. Are the objectives of the meeting normally achieved and are agreements followed up?
Unfortunately in Mexico we have a culture of very little interest in reaching agreements with others and
following up on things, since everything is based on the fact that it is hard for us to work as a team, we
forget that the deficiencies and needs of one person or department are the needs and deficiencies of all
of us because we all make up the company.

CONCLUSIONS
As a conclusion of all these activities I can indicate that time management is important at a professional and
personal level, since not having a balance between this, one tends to suffer from stress and cause other
problems or irreparable damage in both directions of our life.
With proper time management we can choose what priorities to attend to and what is really important in
our lives, as well as give the best of each of us in every aspect of our lives.
